POSITION SUMMARY

The Contracts Specialist at WEConnect International will play a crucial role in leading critical functions within our organization. They will manage procurement policy compliance, draft, and edit vendor contracts, ensure regulatory compliance, oversee contract management software, organizational budget preparation and monitoring and IT vendor management. Their contributions will directly impact our mission of empowering women entrepreneurs globally.

The Contracts Specialist at WEConnect International will play a crucial role in leading critical functions within our organization. They will manage procurement policy compliance, draft, and edit vendor contracts, ensure regulatory compliance, oversee contract management software, organizational budget preparation and monitoring and IT vendor management. Their contributions will directly impact our mission of empowering women entrepreneurs globally.
Essential Duties and Responsibilities
Procurement and Contract Management:
- Lead procurements and draft/edit contracts.
- Ensure contracts meet all regulatory requirements.
- Oversee contract management software, processes, and compliance.
- Maintain and update the procurement policy.
- Support and monitor RFP processes in alignment with the procurement policy.
- Maintain accurate vendor information.
- Manage the purchase order process.
- Ensure contract compliance with government contracts.
- Develop practices and procedures for internal efficiencies.
- Coordinate contract review and approvals.
- Oversee contract compliance for donor-funded projects and budget alignment.
- Ensure execution of procurement policy.
- Provide monthly reports for spend analysis.
Budget Management:
- Prepare and monitor organizational and project budgets.
- Support budget forecasting.
IT and Vendor Management:
- Provide vendor management for the organization's IT Help Desk.
- Develop and oversee IT policies.
- Manage IT inventory.
Education and Experience
- Undergraduate degree required, with a preference for business; JD, MBA or similar advanced degree highly desired.
- Minimum of 3 years of related experience in contracts and budget management in the non-profit sector.
- Experience with US Government, multinational, and other public sector agencies preferred.
- Strong ability to build and maintain relationships with third-party vendors and partners.
- Experience in applying contracting principles and procedures.
- Experience in drafting, revising, and expanding statements of work and specifications.
- Experience in performing cost, price, and best value analysis.
- Knowledge of relevant laws, relevant laws, regulations, policies, standards, and procedures in contracting.
- Demonstrated leadership capabilities.
- Excellent managerial skills for prioritization and problem-solving.
- Fluency in written and spoken English.
- Proven full-cycle work experience as a Contracts Specialist or similar role.
- In-depth knowledge of procurement regulations, contract documents, and legal specifications.
- Strong analytical, verbal, and written communication skills.
- Thrives in a fast-paced environment.
- Ability to work as part of a team and independently set and meet targets.
- A 'self-starter' with excellent motivational skills, enthusiasm, vision, and adaptability.
- Structured and organized to drive results.
