GENERAL SUMMARY:

The Administrative Assistant is our first impression for both guest and incoming callers. Customer service and presentation is of utmost importance. The Administrative Assistant providers high-level administrative support to company executives by coordinating details for leadership meetings, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

ESSENTIAL JOB FUNCTIONS:

  • Answers central telephone system and directs calls accordingly in a professional manner
  • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees and outside customers; refers to the appropriate associate when necessary
  • Coordinates catering meals
  • Communicates all meeting information to attendees
  • Organized and maintains corporate entity binders
  • Maintains and distributes contact list company-wide to leadership team members
  • Receive, sort, date and distribute all incoming and FedEx envelops/packages
  • Assists with stuffing envelopes and posting envelopes and all outgoing mail
  • Produce and distribute correspondence letters, forms and faxes
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Serves as a Notary
  • Manages the Anniversary and Birthday program company-wide
  • Maintain supplies and kitchen inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies
  • Manages and maintains multiple vendor accounts
  • Ensures all office equipment is working; place calls for repairs
  • Ensures the office is well maintain and place calls for maintenance
  • Anticipate the needs of others for a seamless and positive experience
  • Contribute to team effort by accomplishing related results as needed

KNOWLEDGE, SKILLS AND ABILITIES:

  • High level knowledge of computers and relevant software to include Microsoft Office, Outlook and Adobe
  • Able to communicate effectively with all levels of management, team members, residents, family members, guests, vendors, referral sources, and outside contacts
  • Ability to handle multiple tasks while maintaining composure and professionalism
  • Neat, professional, courteous manner and appearance
  • Organizational skills
  • Able to make independent decisions
  • Posses time management skills with ability to be flexible and switch tasks as needed

· Must be able to communicate in a warm, friendly and caring manner · Knowledge of customer service principles and practices

EDUCATION REQUIREMENTS:

  • High School Diploma or equivalent
  • Associates Degree preferred

EXPERIENCE REQUIREMENTS:

  • At least two (2) years’ experience in an Administrative Assistant role
  • Prior experience with receiving directives from several executive team members highly preferred

PHYSICAL REQUIREMENTS:

The following physical demands are representative of those that must be met to successfully perform the essential functions of this position:

  • Able to concentrate with frequent interruptions
  • Able to work under conditions that require sitting, standing, walking, reaching, pulling, pushing, and grasping
  • Able to talk and hear effectively in order to convey instructions and information to residents and team members
  • Occasionally lift/carry up to 50 pounds
