Overview:

The Finance Administrative Assistant provides critical support services for the Director of Finance and all Finance Division departments and serves as the Secretary for the Finance Committee of the WaterOne Board.  In addition, this person is a backup to the Secretary to the WaterOne Board/Administrative Assistant to the General Manager.

Pay Range:  From $27.00/hr

Responsibilities:
  • Manages special projects and events for the Finance division. Coordinates staff from various Finance departments as needed on projects that cross department lines.
  • Assists in coordinating the schedules, processes, and tracking of progress for annual budgeting and other cyclical activities for Financial Planning & Analysis.
  • Responsible for coordinating the schedules, processes, and tracking of progress for bond issuance.
  • Coordinates the completion of the monthly Key Performance Indicators (KPI) Board report.
  • Responsible for uploading reports to Director’s Desk and SharePoint as well as presentation materials to the Boardroom computer for Board presentations.
  • Researches, compiles, analyzes and interprets data in order to perform special analysis for the director and all Finance departments.
  • Coordinates award and recognition projects including the GFOA budget award and the Achievement of Excellence in Procurement award.
  • Serves as a SharePoint expert which includes evaluating, designing, enhancing, and maintaining SharePoint sites for each department in the Finance division.
  • Performs administrative duties such as preparing reports, presentations, exhibits, or correspondence; filing, making appointments, handling mail, meeting planning, local travel coordination, and ordering and maintaining supplies.
  • Serves as Secretary to the Finance Committee and attends Finance Committee meetings held after normal business hours, preparing the minutes of the meetings. Serves as backup to the Board Secretary requiring Board Meeting attendance held after normal business hours in the Board Secretary’s absence. 
Qualifications:

Required Education, Skills & Experience

  • A minimum high school graduate or GED.
  • Minimum three years administrative assistant or related experience.
  • Possess strong project management skills.
  • Excellent organizational skills, ability to solve problems in a logical manner, and ability to prioritize and work on several projects concurrently.
  • Strong skills and experience with Microsoft Applications including Excel, Word, PowerPoint, SharePoint, and Teams.
  • Excellent business communication skills.
  • A creative self-starter who consistently exercises good judgment.
  • Requires ability to work in a team environment, maintaining effective working relationships with employees at all levels of the organization, WaterOne Board members and with other public-sector entities.
  • Demands a high degree of accuracy at all times and an attention to detail.
  • Work well under pressure, deal well with interruptions and occasional emergencies, and meet deadlines.
  • Must be results oriented and willing to invest the time as necessary to achieve organizational objectives.
  • Must pass a post-offer medical exam, including drug screen and background investigation (may not apply to current employees). 

Preferred Education, Skills & Experience

  • Associate’s degree or Bachelor’s degree.
  • Public sector experience.
  • Experience with enterprise resource planning software, such as SAP.

While performing the duties of this job, the employee may occasionally lift/or move up to 20 pounds. The employee must be able to use a computer for multiple hours a day. The employee must be able to use office productivity equipment such as a personal computer, calculator, printer, and copy machine.
