Job Description: Production Manager - Management Division

Purpose: The Production Manager for the Management is a vital member of the Management team. This team member is responsible for a specific list of Landscape Management accounts and will be held accountable for the behavior and performance of all direct reports.

Job Summary – THE 3R’s

Role:

  • Management Division Field Manager
  • Supervises the Mowing/Garden Maintenance Crew Leaders and Associated Crew Members
  • Reports Directly to The Landscape Management Division Manager

Responsibility:

  • Coordinate Purchasing and Tracking of Project Materials with Purchase Manager
  • Snow Removal Services

Metrics to Measure Results:

Success in this position will be measured by:

  • Profit and Loss Reflecting Targeted Profit Margin for All Accounts
  • Performance/Quality Service of Sub-Contractors
  • Demonstrated Proficiency Using All Software and Technologies
  • Performance Reviews Conducted by Supervisor

Detail Overview of Responsibilities:

Customer Service:

  • Provide a High Level of Business Professionalism, Courtesy and Mindfulness
  • Respond to Phone Calls and Other Communications in A Timely Manner
  • Develop Effective Relationships with Clients
  • Lead or Facilitate the Resolution of Client Issues or Concerns in A Timely Manner
  • Provide Professional Courtesies Such as Closing Gates, Bringing Newspaper to Front Door, Picking Up A Piece of Stray Debris/ Trash, Etc.


Production:

  • Review the Job Package, Estimate and Load Sheet with The Designer/Estimator
  • Ensure That the Crews Are Loaded for The Day with Everything They Will Need to Complete the Job
  • Execute Plans to Meet Estimated Budgets
  • Communicate Any Issues That Arise to The Division Manager
  • Closely Manage the Labor Budget for The Division; Paying Strict Attention to Over-Time Hours
  • Review and Approve Digital Timesheets - DAILY


Quality Control:

  • Provide Routine Site Visits to Inspect Quality of Services Being Provided by WHLC And Its Subcontractors
  • Document and Report Damages or Client Concerns to the Division Manger
  • Identify and Report Potential Enhancement Opportunities to the Division Manger
  • Identify and Report Any Pest and Disease Issues to the Division Manager


Team Member Development & Safety:

  • Assist with Onboarding of New Team Members
  • Assist the Division Manager with Training & Mentoring of Field Staff
  • Act as a Liaison Between the Field Staff & Upper Management
  • Manage PTO Requests
  • Facilitate Health & Safety Functions with The Division Manager
  • Ensure Employees Are Provided with And Use Appropriate PPE And Uniforms
  • File Accident Reports and Conduct Investigations; Report Incidents to HR
  • Conduct Performance Reviews and Recommend Raises and Promotions for MGMT Field Staff
  • Facilitate Weekly Crew Leader Meetings for MGMT Division

Purchasing, Deliveries & Material Tracking:

  • Purchase Materials Not Obtained by Purchaser as Needed, Using Authorized Purchase Orders
  • Schedule and Coordinate Deliveries or Pick-Ups for Job Materials and Supplies
  • Properly Job Cost and Provide Any Invoices/Purchase Orders to the AP/AR Specialist
  • Oversee the Loading and Unloading of Materials to And from Jobsites
  • Report Any Materials, Brought Back to The Shop, To the Purchaser
  • Track All Inventory Items Used on Jobsites


Fleet Management:

  • Ensure all Vehicles & Equipment are Clean and is Operating and Functioning in A Safe Manner
  • Conduct Daily Vehicle & Equipment Inspections
  • Schedule Maintenance and Repairs with The Company’s Preferred Mechanic or Dealer
  • Ensure That All US DOT and MD COMAR Inspections Are Current for Fleet & Team Members

Snow & Ice Management:

  • Coordinate and Perform All Snow & Ice Activities
  • Recruit Existing Team Members to Perform Snow Removal Services

Minimum Qualifications and Educational Requirements:

  1. High School Diploma preferred.
  2. 4 Years Experience in office management
  3. Keyboard and data entry skills
  4. Strong knowledge of the following Software/Technology:
  • LMN (budgeting, estimating and electronic timekeeping)
  • Microsoft Office Suite (Excel, Word, PowerPoint)
  • Web usage, template website updates, online company profiles and listings
  • Social media – Houzz, Facebook, Instagram, etc., or current platform
  • Microsoft Outlook & Outlook Calendar
  • Dropbox (Cloud Storage)
