Position Title: Operations and Customer Relations Administrator

Program: SecureRMS

Reports To: Production Manager

Hours/Schedule: 32 hours per week/full-time

Hourly/Salary Status: Hourly

Position Overview: The Operations and Sales Assistant will handle customer service, sales, operations support and administrative duties for Waban’s social enterprise SecureRMS, a secure shredding document destruction business.

Duties and Responsibilities:

  1. Provide excellent customer service, including responding to new and existing customer requests in a timely manner. Handle all phone calls and respond to email inquiries.
  2. Become super user for entity software system, Total Recall, (currently being implemented). Facilitate invoicing, ticket reconciliation, and collection of aged receivables. Update all customer records. Track company inventory.
  3. Assist with all aspects of SecureRMS’ financial records and work directly with Accounting Department.
  4. Draft and facilitate customer contracts, product pricing, negotiations, monitor contract renewals and timelines, and maintain and develop business relationships.
  5. Responsible for recordkeeping and maintenance for but not limited to NAID annual audit, policy documents, vehicle maintenance records, registrations, etc.
  6. Work with Production Manager to understand driver routes and assist with scheduling as needed. Provide support for Production Manager and SecureRMS operations as needed including occasional shredding, sorting, etc.
  7. Collaborate with Waban’s Communications & Marketing Director to develop efficient marketing, sales, and development materials, flyers, communications, presentations, and social media platforms.
  8. Other duties as assigned.

General Requirements:

  1. Must have exceptional verbal and written communication skills and excellent time management and organizational skills.

  1. Must have excellent customer relations skills.
  2. Must be proficient with Microsoft Office 365 and using financial/sales software systems.
  3. Must be flexible and willing to jump in where needed.


  • Must hold an Associate degree or higher.
  • Must hold a valid driver’s license and pass all required background checks and drug tests.
