Customer Service Representative

Job Description

Job Summary: The Customer Service Representative is the liaison between Vivos and our current and potential patients and providers. He/she will very often be the first impression of Vivos for people reaching out to our organization. The CSR is key to the success of our Vivos Wellness & Breathing Centers and our VIP providers. He/she must be comfortable handling a high volume of inbound calls and seek to create a positive experience for every caller. The Customer Service Representative must be able to listen effectively, understand VIP needs and communicate about Vivos enthusiastically. If a caller calls with a concern or complaint, the Customer Service Representative must be able to problem-solve, troubleshoot and handle calls in a caring manner.

Main Duties and Responsibilities:

· Answer incoming calls in a timely manner

· Redirect calls to the appropriate team members, as needed

· Generate leads for the sales team by asking appropriate questions and completing Leads Sheet

· Answer caller questions about Vivos in a knowledgeable and professional manner

· Build relationships with callers/providers

· Maintain a positive, empathetic and professional attitude towards patients/callers at all times

· Engage in active listening. Confirm or clarify information as needed. Use good communication skills to help callers/patients feel valued and understood

· Able to effectively verify and troubleshoot system issues.

· Handle caller/patient concerns or complaints professionally, asking for help or assistance when necessary

· Follow all communication procedures, policies and guidelines during every patient/caller interaction

· Assist with submissions to the Diagnostic Portal – ensure that all necessary diagnostic information has been submitted for review

· Follow-up with providers who need to re-submit missing information into the Diagnostic Portal

· Protect patient confidentiality by adhering to all HIPAA policies

· Partner effectively/work collaboratively with Vivos Center Team Members

· Utilize software, databases, scripts and tools appropriately

· Follow all OSHA regulations in the workplace

· Keep required records of patient/caller interactions, comments and complaints

· Maintain CRM (Customer Relationship Management) System

· Compile and report weekly statistics

· Maintain equipment (telephone, computer, headsets and other equipment assigned) by following user protocols and reporting problems as they occur

· Communicate and coordinate with other Customer Care Support Associates – work as part of a team

· Other duties, as assigned

Education, Qualifications and Experience

· High school diploma or higher

· Previous call center experience required

· Working knowledge of Microsoft office suite

· Advanced computer skills

· Experience troubleshooting CRM systems preferred
