Job Description

VisitNorfolk is looking for a proactive, self-motivated, well organized and detail-oriented Executive Assistant to provide principal support to the President & CEO.

Responsibilities include:

  • Performs general secretarial functions and assists President & CEO in day-to-day operations; provides occasional assistance to other senior leadership.
  • Screens calls, manages calendar (Outlook), manages expenses, travel arrangements, correspondence, and other scheduled communication; Prioritizes and distributes all incoming correspondence, faxes, and general mail.
  • Organize all meetings for President & CEO (i.e., food, schedules, space, etc.); attends meetings and takes minutes as necessary.
  • Provides full support to VisitNorfolk Board of Directors and sub committees.
  • Assists with departmental projects; Coordinates with other administrative staff on projects, meetings, and other tasks as assigned.


  • College degree preferred with 1-5 years of progressive administrative experience or equivalent combination of training and experience.
  • Proficient in Microsoft Office programs such as Word, Publisher, PowerPoint, and Excel;
  • Ability to prepare and compose complex correspondence and reports; Basic accounting skills– check requests, purchase order entries, etc.
  • Ability to deal with delicate and confidential matters on a continuing basis and prioritize and carry out work assignments with a high degree of independence; Strong interpersonal and telephone skills are a must.
  • Proven ability to work under pressure, meet aggressive deadlines, and make effective decisions.
