Job Description: Assistant Manager

Position Summary

The Assistant Manager is responsible for administrative and personnel management of the medical staff. The position requires extensive understanding of managing a team! Our perfect candidate will have 5+ years of experience in running a team, problem solving, and delegation.

The Assistant Manager monitors inventory, manages the technical staff, upholds all protocols and policies, implements new policies, works directly with the doctors, recognizes developed traffic and redirects the team to efficiency, creates the technician schedule, and helps train & improves all aspects and efficiency within the hospital.

This leadership position sets the example for all staff to follow in client service, medical standards and will directly affect team culture. The Assistant Manager directly supervises the medical team and works with hospital leaders to provide a growing clinic culture and business. Job Responsibilities


  • Achieve optimal staffing levels for maximum productivity and client service
  • Ability to perform vaccinations, blood-draws, and basic veterinary care
  • Able to assist in surgeries and anesthetic procedures
  • Interview, assist in hiring and training of support staff
  • Develop and implement a phase-training program for new hires and conduct 30- and 90-day reviews
  • Supervise staff
  • Learn & understand the hospital flow and veterinary services
  • Handle disciplinary actions, assist in firing and legal responsibilities of employment
  • Oversee or create the work schedules for support staff
  • Meets with sales representatives and provides appropriate literature to veterinarians
  • Ensure staff are properly trained for their respective positions
  • Ensure support staff receives timely performance reviews every six months and annually
  • Maintain personnel manual and policies, with timely updates at least annually or as new policies are implemented
  • Mediate personnel issues
  • Purchase inventory supplies or delegate as needed
  • Oversee or manage the ordering and inventory of pet food and retail items in the reception area
  • Manage, maintain and provide training to medical staff on our veterinary practice-management software
  • Structure continuing education and training for support staff
  • Plan agendas and organize timely staff meetings
  • Develop written job descriptions, reviewing and updating responsibilities annually
  • Set support staff salaries, working in collaboration with the practice owner(s) 
  • Handle training concerns and corrections
  • Directly handles clients complaints about medical care or medical treatment
  • Attend monthly doctor meeting with agenda items for disbursement

Client Satisfaction & Marketing Duties:

  • Grow and develop practice revenue centers
  • Promote a client-centered practice environment
  • Deal with clients in a manner that shows sensitivity, tact and professionalism
  • Monitor key performance indicators monthly and shares results with practice owner(s) and appropriate staff
  • Manage, maintain and provide training on practice-management software
  • Oversee building and equipment maintenance
  • Oversee and maintain housekeeping standards

Professional Growth Duties, 2%:

  • Attend continuing education (conferences, online courses, videos, in-clinic seminars, etc.)
  • Network with practice managers and other medical staff from other practices
  • Read veterinary and practice management journals
  • Share new skills and knowledge with staff following continuing-education programs
  • Maintain a veterinary library for doctors and support staff, working in collaboration with the practice owner
  • Help maintain a client library of handouts and books on pet selection, training, behavior and grieving

Educational Requirements & Skills Needed

Skills Needed:

  • Ability to manage daily business activities of a veterinary hospital (The management responsibility and authority depends on the size of the hospital and owner(s) delegation.)
  • Ability to make management decisions
  • Leadership and supervisory skills to manage all support staff

Physical Obligations:

  • Able to lift and carry equipment up to 25 pounds
  • Endure sitting, standing and walking on hard floor surfaces for extended periods
  • Type information for patient records and prescription labels into the computer
  • Take safety precautions for exposure to toxins, drugs, anesthesia and radiation
