Administrative Assistant (will directly support the Program Director)

We are seeking an Administrative Assistant who's a self starter, highly energized and excited to have the opportunity to help us serve veterans to join our team! You will perform clerical and administrative functions in order to drive company success while also being respected and appreciated for what you bring to the team daily to improve the lives of veterans.


  • Provide outstanding customer service and support to VLC operations
  • Identify the most efficient work practices for office functioning and adapt processes to match those practices
  • Provide support which results in the staff using their time effectively and efficiently
  • Schedule meetings, answer incoming questions regarding VLC general issues
  • Create and maintain file systems including databases which support the program
  • Work collaboratively with all staff members regardless of their position
  • manage/update meetings and calendars of key identified staff
  • Develop, oversee and finalize office correspondence (internal and external)
  • Support staff meetings and conferences when needed
  • Interact respectfully with a broad range of individuals and agencies at all times
  • Develop and maintain professional relationships with potential residents/agencies
  • Participate in weekly and other staff meetings as assigned
  • Greet and assist onsite guests
  • Answer inbound telephone calls
  • Perform all other office tasks


  • Associates degree in Business Administration, Office Administration or a related field
  • Two years of experience in increasingly responsible administrative support work
  • History of exceptional customer service and staff support
  • Strong computer fluency in MS Office
  • Ability to prioritize and manage multiple tasks and requests under tight timelines
  • Ability to obtain knowledge and understanding of the program and its important mission
  • Ability to critically review and edit requested material
  • Protects/understands the importance of confidential material and conversations
  • Ability to work independently
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills

The Veterans Life Center is a 100 bed residential program designed to help at-risk male and female 21st-century military veterans. By strengthening their mental fitness, physical health, improving life skills, and providing vocational training, we will guide these residents to career opportunities and community reintegration. Our programmatic goal is to avert the all-too-frequent crises such as chronic homelessness, incarceration, suicide, and premature death. Our comprehensive and systematic approach is designed to provide each of our residents the prospect of a constructive and personally rewarding role in civil society. The ultimate goal of the VLC is to help every resident achieve self-reliance. We have a rigorous assessment process, which will enable us to identify the specific needs of each veteran. Once accepted, each veteran will work with a VLC case manager to develop their own reintegration program and be guided into one of our five tracks covering time frames from 3 months to 2 years. Residents will live in double rooms in each of the four wings. The facility will include such things such as a computer lab, a fitness center, a chapel, and a meditation garden. There will also be a full commercial kitchen and a dining room, plus many common areas for various functions and office spaces for a staff of 30 people.
