What youll do:

The Executive Assistant will provide administrative and communication support to the CEO including managing calendars, making travel arrangements, preparing expense reports and preparing communications (emails, newsletters and presentations) on behalf of the CEO.

This position can be part time or full time.

Roles and Responsibilities:

  • Provide administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the CEOs behalf
  • Organize meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Maintain comprehensive and accurate records 
  • Manage the CEOs calendar, including making appointments and prioritizing the most sensitive matters
  • Act as the point of contact among executives, employees, clients and other external partners as needed
  • Manage information flow in a timely and accurate manner
  • Make travel and accommodation arrangements
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication memos, emails, presentations, reports
  • Take minutes during meetings as needed
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system
  • Assist with administrative tasks within the company
  • Perform other duties as assigned by the CEO

What you'll need:

  • Work experience as an Executive Assistant, Personal Assistant or similar role a plus
  • Time management and ability to meet deadlines
  • Excellent verbal and written communications skills
  • Strong organizational skills and ability to multitask  
  • Problem-solving and decision making
  • Proactivity and self-direction
  • Interpersonal skills
  • Excellent MS Office and Google Suite knowledge
  • Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
  • Discretion and confidentiality
  • High School degree
  • PA diploma or certification is a plus
