**Program Coordinator II (Student Financial Services) (Job Number: 1900205)** **Description** The Student Financials Analyst is an integral part of the Student Financial Services team at Vanderbilt University. By partnering with the Student Financial Services Management Team, this position ensures that all required office procedures and functions including but not limited to invoice and payment processing, receipting, accounts receivable, student refund processing and account consultation are handled in an appropriate and timely manner. The Student Financials Analyst exhibits strong analytical skills and provides direct insight into collectability patterns, process improvements, and demonstrates a thorough understanding of the systems support and reporting required for Student Financial Services. As a member of the Student Financial Services team, the Student Financials Analyst facilitates and maintains strong, collaborative relationships with Vanderbilt's faculty, staff, and student population, and identifies additional ways to be of service, while ensuring complete customer satisfaction. This individual must maintain a high level of professionalism and responsibility, and be capable of acting independently in decision making and problem solving. The Office of Student Financial Services is the centralized billing and collection point for student accounts and institutional and federally required student loans. The primary function of the office is to issue bills, receive payments and provide information to help understand all aspects of a Vanderbilt student account and/or student loan. **Duties and responsibilities** + Provides complete support forthe operations of Student Financial Services at Vanderbilt University.Responsibilities include, but are not limited to Accounts Receivables(including 3rd Party), system setup andmaintenance, charge and credit application, account analysis andadjustment, monthly billing, refund distribution and customer servicefunctions. + Monitors and maintains frontline operations for Student Financial Services. Exhibits a strongunderstanding of office policies and procedures, and has the ability toindependently answer questions and solve problems autonomously in a quickand efficient manner with little to no oversight. + Serves as an advocate andadvisor to our student and parent population by communicating and helpingthem understand their rights and responsibilities regarding theirfinancial obligations to the university. + Produces and provides studentaccount research and analysis as needed. Fosters the ability to analyzelarge and complex sets of data related to both student accounts andstudent loans. Can summarize data efficiently and present in an organizedand thoughtful manner for executive level review. + Assists with the acceptance andposting of student account payments in accordance with office policy andprocedures. Ensures student account posting information is accurate anddemonstrates attention to detail. + Develops outreach methods,communications and payment options in order to help our students attainsuccessful completion of all financial obligations to the institution. + Assists with the monitoring andmaintenance of aging receivables by tracking appropriate accounts andworking with payers through delays in payments, conflicts and other areasof concern. + Assists with collectionprocesses by assisting with follow up of accounts prior to, during andafter graduation or withdrawal from the university. + Assists with the distributionand explanation of federally required forms reporting student qualifiedtuition and related expenses while exhibiting a strong understanding ofeach party's responsibilities and reporting requirements surrounding theIRS Form 1098-T. + Exhibits a thoroughunderstanding of Financial Aid policies and procedures. Ensures strongcollaborative efforts between Student Financial Services and the FinancialAid Office. + Collaborate, coordinate andcommunicate with other university departments to ensure knowledge andinformation transfer in order to create a better quality of service forstudents and customers. + Assists in ensuring compliancewith federal and state regulations as well as institutional anddepartmental policies. + Performs and participates invarious campus activities such as PreVU days, First Year Move in, ClassOrientations and Black and Gold Days Resource Fairs. + Complete special projects andother duties as assigned. + Ensures the privacy of allVanderbilt Students by understanding and exhibiting a strong understandingof the Family Education Rights and Privacy Act (FERPA). + Assists with developing anddocumenting business procedures to maintain and strengthen internalcontrols. Participates regularly in process improvement initiatives underindirect supervision and oversight. + Applies critical thinking asneeded within the scope of responsibilities, research issues/questionsrelated to Student Financials, and communicate information to managementin a timely and effective manner. + Proficient with MicrosoftOffice Suite programs. + Ability to work collaborativelywith all levels of staff and departments to maximize performance,creativity, problem solving, and results. + Embraces cross-training andexhibits eagerness to learn all functions and duties assigned to StudentFinancials and related Enrollment Management areas in order to back upother positions and areas as needed. + Ability to exercise soundjudgment and effectively handle multiple projects simultaneously in adeadline driven environment. + Strong verbal, writtencommunication and interpersonal skills. + Proven ability to excel infast-paced, changing, and challenging environments. **Profile ofan Ideal Candidate** + A Bachelor's degree or 5 years'experience in Student Financials from an accredited institution of highereducation is necessary + At least three years in abilling and payment services related field is necessary. + Experience in a highereducation/student account related field ispreferred. + Skill in intermediate Excel andWord applications is necessary. + Time management skills and theability to work well in a team environment isnecessary. + Proven detail-oriented workstyle in collaboration with effective written and verbal communicationskills is necessary. + Ability to build and maintaineffective working relationships with a range of people, understandingtheir needs and goals is necessary. + Ability to work co-operativelywith others as part of a team, as opposed to working separately orcompetitively, is necessary. + Openness to change,adaptability, and the ability to work effectively in a variety ofsituations, with individuals or groups is necessary. + Ability to understand andappreciate different and opposing perspectives on an issue isnecessary. + Strong interpersonal skills andthe ability to develop and maintain relationships with keystakeholders is necessary **AboutVanderbilt University** Vanderbilt University, located in Nashville, Tennessee, is a top-15 private research university offering a full range of undergraduate, graduate and professional degrees.
