POSITION SUMMARY
The Sr. Contract Specialist assists Vulcan’s Real Estate Department (“Real Estate”) in supporting Project Managers and other staff with negotiating, drafting, processing, approving, and administering various contracts. This position will interact heavily with real estate colleagues, their counterparts on the Legal team, Accounts Payable, Procurement, and other client groups as assigned.
The Sr. Contract Specialist is responsible for collecting and verifying appropriate documentation to (i) assist Vendor Management with setting up new vendors, (ii) ensure compliance with contract requirements such as current proof of insurance, and (iii) confirm that current non-disclosure agreements are in place and maintained. Based on ongoing projects, department goals, and other company or department demands, the Contract Specialist may be asked to provide contract-related reporting, charting of process flows or other contract research.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- In concert with Project Managers, initiate, manage, monitor, and track contract processing and execution.
- Facilitate the negotiation of contracts between vendors, Vulcan Real Estate, and Vulcan Legal.
- Support loan documentation, approvals, and tracking, as needed.
- Support acquisitions and dispositions documentation, approvals, and tracking, as needed.
- Support easement and various governmental legal agreements as required to facilitate developments.
- Identify the need for and facilitate corporate consent as appropriate.
- Facilitate Vulcan internal approvals.
- Develop department standard processes and forms or matrices for project updates, contract flows, inter-departmental communication, and other requests.
- Provide requested project information and act as a liaison between Legal and other internal departments and affiliate companies as required occasionally.
- Support the upkeep and maintenance of contract forms and templates, especially those specific to real estate needs located in a centralized database.
- Demonstrate honesty, responsibility, integrity, accountability, and fulfillment of commitments.
- Special projects as assigned.

Required
- Ability to interact with all levels of management, internal departments, employees, attorneys, regulatory agencies, contractors, designers, architects, engineers, tenants, brokers, property managers, consultants, affiliates and other companies.
- Ability to convey and work with confidential information; respond to and follow up on complaints, problems and issues.
- Ability to read and understand legal documents and contracts.
- Ability to prepare contracts using approved templates.
- Strong proofreading skills.
- Adaptability and flexibility to respond to the constant shift of priorities and fluctuations at Vulcan.
- Must be able to work under pressure in a fast-paced environment.
- Team player and "people person" with a strong client service orientation.
- Must be highly organized, detail-oriented and able to multi-task at a high level.
Preferred
- Contract Management/ Purchasing experience.
- Previous positions in support of a project manager and/or department.
- Prior employment in a legal environment.
- Knowledge of real estate management, development, design, and construction process including terminology and document usage.
- Experience reviewing, drafting & abstracting contractual scopes of work.

Education/experience/certifications
- Associate’s degree (A.A.) from an accredited institution and 5 plus years relevant experience, OR, an equivalent combination of education and experience.
Special remarks regarding work environment, if applicable
- There should be minimal travel in this position
- Vulcan is a hybrid work environment with every Tuesday being our “collaboration day” when most employees work from the office. We celebrate this in-person time with Vulcan-sponsored lunches and other opportunities to interact and learn from each other.
- This role currently requires work in the office Mondays through Thursdays with Friday as a remote workday each week. The hybrid work environment is an organizational decision that benefits employees, may differ from job to job, and is subject to change as needed.

The Vulcan compensation range for this role is $94,113 - $115,027 annually.

The upper portion of the salary range is typically reserved for existing employees who demonstrate strong performance over time or candidates who exceed our expectations for experience and skill set.
