Assistant to the Director & PR/Marketing Coordinator

The Nora Eccles Harrison Museum of Art (NEHMA) at Utah State University seeks a professional and experienced Assistant to the Director and PR/Marketing Coordinator to work in a small, team-based office environment. Reporting to NEHMA's Executive Director & Chief Curator, this position will provide administrative support to the director and to daily museum operations, including facilitating press and marketing efforts and managing a membership program. As part of a small team, this position will also be responsible for a wide variety of tasks to ensure operations run efficiently, and the ideal candidate will be able to effectively support a range of responsibilities in a fast-paced office setting.

+ Update public event calendars and manage social media platforms to promote Museum exhibitions and events. Work with staff to gather information about events and ensure it is shared in a timely manner. Coordinate with interns or staff who assist with these duties
+ Coordinate with Director and staff to draft press releases in a timely manner. Forward final press releases to USU Central PR/Marketing for review and dissemination. Serve as the Museum's press contact when needed
+ Work with Museum staff to draft and send a monthly newsletter using MailChimp. This does not require web design skills but does require attention to detail and a good understanding of NEHMA's marketing guidelines
+ Assist with processing memberships for the NEHMA membership program, including prompt drafting of thank you letters on behalf of the director, ensuring member benefits are honored, sending membership renewal reminders, and maintaining membership records
+ Assist with processing donor gifts, including drafting thank you letters, updating mailing lists and donor records
+ Serve as primary staff support for Director. Manage the director's calendar. Schedule and organize meetings, appointments, and events on their behalf. Update and Maintain NEHMA's shared calendar and associated email address for general inquiries
+ Serve as the receptionist by greeting office visitors as well as answering, screening, and routing telephone calls in a pleasant and professional manner
+ Act as Museum liaison for facility/maintenance work orders
+ Provide administrative support and guidance for NEHMA committees
+ Track all expense receipts and related data
+ Research and order office supplies and other Museum supplies as directed
+ Assist Administrative & Events Coordinator with facility, supply and scheduling requests for special events
+ Attend staff meetings, record minutes and distribute copies to all staff members. Work with Director to schedule and send reminders for upcoming meetings
+ Serve as secretary to the Museum Advisory Board. Schedule meetings, prepare documents, record minutes of meetings, and distribute information to Advisory Board members
+ Complete duties associated with the Museum Store including counting the cash drawer, managing store inventory via Clover system, and managing the donation box to ensure donations are deposited
+ Other duties as assigned

Minimum Qualifications

Either four years of relevant experience, an associate degree/technical training plus two years of relevant experience, or a bachelor's degree and at least one year of relevant experience is required.
Relevant experience includes creating press releases, public calendar postings, and/or marketing.

Bachelor's degree
Experience working in a non-profit, university or museum setting
Knowledge of USU systems, policies and procedures

+ Proficiency using Microsoft Office, in particular Word, Excel and PowerPoint
+ Strong written communication skills to regularly draft letters, press releases and calendar listings
+ Exceptional verbal and communication skills alongside a positive and professional disposition
+ Ability to handle sensitive/confidential business data and personal information
+ Self-driven with the ability to take feedback and direction
+ Experience with company workflow and financial software
+ Excellent organizational skills

The Nora Eccles Harrison Museum of Art was founded in 1982 with the ceramic collection of philanthropist and namesake Nora Eccles Harrison. The Museum has since expanded to include over 5,000 objects focused on Modernist and Contemporary works made in the western half of the United States. The core of the collection explores certain key art historical movements including Beat, Los Angeles Post-Surrealism, Santa Fe Transcendentalism, and Bay Area Abstract Expressionism. The Museum also collects and exhibits contemporary works that serve as snapshots of the current art scene thriving in many Western cities today.
