Provide high-level administrative support for agency leadership, including all functions related to the facilitation of the Board of Directors, as well as planned technology conversion by conducting research, updating and maintaining appropriate databases (including SalesForce), preparing statistical reports, handling information requests, and performing necessary clerical functions related to the implementation of the HillCAP business plan, such as preparing correspondence, arranging conference calls, scheduling meetings, and other related duties as assigned.
Prepare agendas, at the Executive Director's direction, and make arrangements for committee, board, and other meetings.
Attend meetings to record minutes.
Compile, transcribe, and distribute minutes of meetings.
Responsible for the input and maintenance of the agency database, along with the generation of necessary reports from this database.
Support the training of other staff on the use of the agency database; troubleshoot staff problems with the use of the database in real time.
Prepare reports, memos, letters and other documents for administration and assigned programs, using word processing, spreadsheet, database, or presentation software.
Review and record operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
Assist Executive Director in updating and maintaining all policies/procedures connected to the agency’s periodic re-accreditation under the Standards for Excellence.
Maintain office supplies inventory and alert Director of Finance & Operations when items are needed.
Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
File and retrieve corporate documents, records, and reports.
Prepare responses to correspondence containing routine inquiries.
Must be proficient in Microsoft Office 360 applications (Outlook, Word, PowerPoint, Access, SharePoint, and Teams); experience with SalesForce or similar CRM a plus.
Associate/business school degree preferred, with at least one year comparable experience required.
