Position Summary


Primary responsibility is to assist the Director in the day to day operations of the C.H.I.L.D. Center. This position requires extensive knowledge in the following areas: Department of Children and Families, Division of Early Care and Education (DCF 251), YoungStar Quality Rating Scale and NCA Accreditation standards. The position requires management of student staff, student observers/volunteers, and provides classroom instruction when need arises (filling in for classroom teachers). The Operations Program Associate will also act as a liaison with the University community, local school districts, volunteer agencies, and other institutions of higher learning to support the needs of their students.








Responsibilities


Office Responsibilities-50%
1. Maintain confidentiality on records of children, staff, and outside agencies involved with the C.H.I.L.D. Center
- Maintain immunization and health records on all children
- Maintain parent/guardian contacts
- Maintain health report, background checks, and otherwise required information on all staff/volunteers
2. Adhere to health and safety policies as outlined in parent and staff handbook and as stated in the Wisconsin Licensing DCF 251
- Maintain CPR records on all staff
- Maintain severe weather records for the center
3. Contribute to the effective operation of the overall childcare program
- Adhere to a core set of beliefs and philosophies
- Maintain confidentiality
- Follow guidelines of DCF 251, YoungStar Quality Rating Scale and NCA Accreditation
- Assist with family and staff schedules
- Provide coverage in classrooms due to an absence
- Assist in finding replacements for staff when they are unable to work their shifts
4. Coordinate students from various programs (University, High School, Volunteer agencies, Technical Colleges) in placement for observation/volunteer staff
5. Arrange and participate in meetings and conferences and fulfill continuing education requirements
6. Assist with maintaining supplies and snacks for the entire center
7. Regularly support the center by attending social functions or programs held outside of the regular business hours
8. Establish and maintain effective working relationships with co-workers and families
9. Act as a liaison with sponsoring faculty/staff members from the university, student teacher supervisors, volunteer agencies, local school district personnel, etc.
10. Assist with co-curricular assessment for the program as outlined by UW-River Falls




Classroom/Training Responsibilities-10%
1. Assist with supervising all Teacher Assistants, Student Teachers and volunteers assigned to their classroom in collaboration with the Director
- Assist with training that is hands-on within the classroom
- Assist with training kitchen and non-classroom duties
- Oversee that all center policies and guidelines are being maintained
- Initiate and follow through with discipline policies
- Provide classroom coverage for while lead teachers are on break
2. Assist with evaluation of student staff, student teachers, observers, and volunteers
3. Oversee volunteers utilizing the facility for observation hours or volunteer experiences




General Responsibilities-40%
1. Maintain a professional working atmosphere and confidentiality of information in relation to staff, children, and families
2. Ensure the safety and physical well-being of each child
- provide first aid when necessary
- notify parents/guardians of injury
3. Maintain daily office operations
- answer the phone, emails, faxes
- assist with billing and payments
- assist families with operational questions
4. Operate a variety of standard office machines, including a personal computer, software, phone, fax, calculator, and copier
- knowledge of TimeClock for UW-Systems
- knowledge of ProCare software
5. File forms and perform other routine clerical tasks as needed
6. Review job applications and assist with interviews
7. Provide new hire paperwork and assist with orientation training
8. Assist with overseeing the curriculum that is implemented in each classroom
9. Assist with planning meals and snacks
10. Administer tours as needed
11. Perform other duties and responsibilities as designed by the director
12. Attend parent or childcare committee meetings as needed
13. Attend monthly in-service trainings and maintain continuing education requirements








Knowledge Skills and Abilities


- Excellent written, oral, and interpersonal skills including the ability to communicate effectively with staff, children, and parents
- Strong organizational skills, able to balance and manage multiple priorities successfully
- Ability to exercise good judgement, make independent decisions when appropriate, and utilize solid problem-solving skills
- Intermediate to advanced technical skills including proficient use of Microsoft Office Suite
- Knowledge of Department of Children and Families, Division of Early Care and Education (DCF 251), YoungStar Quality Rating Scale, and NCA Accreditation standards
- Ability to acquire/hold Level 10 Certificate on the Wisconsin Childcare Registry required, Level 12+ preferred
- Knowledge of Procare and Timeclock preferred
- Minimum of 5 years' experience in a child care setting preferred
