Job Description

The University of Saint Mary is a Roman Catholic, liberal arts university located in Leavenworth, Kansas, just 25 minutes away from Kansas City. USM serves about 1,400 students at its main campus in Leavenworth, including its satellite locations in Overland Park and Lansing Correctional Facility, as well as online.

POSITION SUMMARY:

The Online Enrollment and Student Services Representative serves as the primary contact for students pursuing online degrees at the University of Saint Mary. This position maintains the highest level of customer service for current and potential students. The representative actively recruits and guides online students through the application process and supports them throughout their degree progression. The position is responsible for identifying and responding to barriers that students encounter. This position works as part of a larger student service team and will cross-train with team members to ensure student success and seamless services across all aspects of the student journey, including enrollment, registrar, financial aid, billing, director of learning technologies, and academic advising functions.

This position offers a flexible work schedule with some evenings and/or remote scheduling.

ESSENTIAL FUNCTIONS:

  • Use an advising approach to build friendly, professional relationships with prospective students from inquiry through graduation.
  • Maintain and manage a lead base of all potential students.
  • Call all incoming student leads in a timely manner.
  • Track interactions and progression of all leads using CRM (Slate).
  • Video chat with prospective students and answer questions about the university, areas of study, and opportunities for students.
  • Monitor the application process from initial application submission through the first term of enrollment.
  • Perform transcript review of coursework on prospective incoming students
  • Provide high-level financial aid guidance to prospective and incoming students
  • Walk through the learning management system and online courses on the first day of class.
  • Identify program requirements and plan appropriate course schedules.
  • Advise students and enroll them in appropriate classes.
  • Monitor class schedules and communicate as necessary with impacted students.
  • Advise students on Career plans in relationship to their program.
  • Connect students with student success resources.
  • Assist in the determination of internal rules, policies, procedures, controls, and manage processes to advance service levels.
  • Assist in problem identification and resolution in support of student success and persistence.
  • Works collaboratively and cross-train with other members of the online enrollment team.
  • Maintain 80% retention rate of enrolled students.
  • Performs other related duties as assigned.

REQUIREMENTS:

  • Bachelor’s degree required.
  • Two or more years of experience in academic/admissions support, customer service, human resources and/or counseling preferred.
  • Excellent written and verbal communication skills.
  • Extensive knowledge about the university, its faculty, and its student population.
  • Excellent organizational skills and attention to detail, ensuring the accuracy of student records.
  • Ability to project a positive and professional image and provide exceptional customer service.
  • Excellent interpersonal skills are a must.
  • Ability to work evening and weekend hours as needed.
  • Experience working with adults and non-traditional students in higher education preferred.
  • Proficient in Microsoft Office Suite, student information systems, learning management systems or similar software preferred.
  • Knowledge of academic policies and procedures.
  • Ability to learn technical skills quickly and teach them to a non-technical audience.
