Crestwood Animal Hospital

The Digital Client Service Representative is responsible for the overall planning, organization and direction of Crestwood Animal Hospital’s communications and marketing strategies and public information activities.

This team member will be afforded wide latitude in the performance of her/his duties and be expected to use superior personal judgment in selecting methods, establishing priorities, and arriving at conclusions. An understanding of communication and marketing strategies of both small businesses and veterinary practices is imperative.

The ultimate outcome is to grow the business through communications and marketing to team members, clients, vendors and the general public so that we can continue our commitment to excellence in veterinary care and customer service.

Education and Qualifications

  • Bachelor’s or advanced degree in communications, public relations, journalism or related field; some practical business experience
  • Must be outgoing and pleasant with superior interpersonal skills
  • High energy, maturity, and leadership with the ability to serve as a unifying figure
  • Self-starter, able to work independently, entrepreneurial drive; enjoys creating, implementing and multi-tasking; Ability to work without direct supervision; Superior organizational skills - multiple major and minor projects will be in progress at all times
  • Ability to prioritize what is urgent/important, non-urgent/important, urgent/un-important and non-urgent/non-important and determine which strategies will give us “the biggest bang for our buck” (buck being our time, energy and actual dollars)
  • Ability to influence others
  • Excellent writing/editing and verbal communication skills
  • Requires ability in problem-solving, decisions involving both business, marketing, communication and veterinary expertise
  • The ability to take knowledge and transform it into exciting and useful messages, and disseminate it to the right audiences
  • Team and relationship builder and sincere commitment to work collaboratively with all groups, including staff, volunteers and other animal related organizations
  • Knowledge of media operations and expertise in the field of public relations and release of information for publication; Ability to establish and maintain relationships with media including television, print, internet

  • Passionate about and confident around animals (e.g. dogs, cats, birds, reptiles, small mammals, etc.) and every team member (regardless of title)

Position, Schedule, Hours, Attire, etc.

  • This is a part-time position, averaging approximately 20 to 30 hours each week, including occasional weekend and/or evening hours. The days and actual work times are flexible with the approval of the Hospital Director (Dr. JS) and/or Hospital Administrator (DC). Most work is to be conducted at the hospital
  • The Director of Communications and Marketing reports directly to the Hospital Director and Hospital Administrator
  • Attire should be business casual at all times, both in the hospital and when representing the hospital off site.

Physical Demands and Work Environment

The physical demands to successfully perform the essential functions of this job are minimal. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

While performing the duties of this job, the team member may occasionally be required to stand for prolonged periods; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The team member frequently is required to walk and sit and sometimes stoop, kneel, or crouch. The team member may occasionally be required to lift and / or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus. Local travel is also required.

While performing the duties of this job, the team member is routinely exposed to animals, which may bite or scratch, and occasionally be exposed to risk of radiation and biological hazards. The noise level in the work environment is usually moderate. Waste anesthetic gases are handled in an approved manner, and exposure is minimal.

Specific Duties and Responsibilities (this will change and evolve over time)

  • Hospital Purpose, Vision Statement, Mission Statement, and Core Values – believe in and embody our Purpose at CAH, understand and embrace the Vision of CAH, understand and uphold the Mission Statement, embody and uphold the Core Values of CAH.
  • Strategic Planning – Establish the strategic direction for the hospital’s communications and marketing; with the assistance of the Hospital Administrator and the marketing team at UVC develop the annual marketing calendar along with plans, monthly themes, events, goals, and objectives; Work with Hospital Director to establish budget for communications and marketing.
  • Oversee the training of people, execution of process, and uphold standards of the product for the following:
    • Tours: develop protocol for informal tours for virtually every client
    • Reminder system – maintain and expand with focus on improving compliance and improving quality of care via Pet Desk app
    • E-Blasts: Educational (“Beware of Deer when Driving”), promotional (Parasite Plus Program) and informational (Now Offering Curbside Service)
    • Establish programs focused on the top 20% of our clients (20% of our clients bring us 80% of our business)
    • In-house and outsourced printed, educational and marketing materials (Pet Care Plan Brochures, logo t-shirts, business cards, magnets, etc.)
    • Develop and launch programs such as Pet Desk app and Employee of the Month
    • Review effectiveness of current marketing programs such as Google Word Ads, Internet Web Ads, etc.
    • Events and Community Out Reach Program - responsibilities include planning, tracking and maintaining event inventory, organizing and advertising of clinic events with the assistance of the Hospital Director and the Hospital Administrator
      • Trunk or Treat and Haunted Hospital
      • Open House and Easter Egg Hunt
      • Vet Academy - includes sending follow-up surveys after the event
      • Pictures with Santa
      • Doctor Shadowing Program
      • Other opportunities such as adoption events, College / University Interns, Dr. Interns, Tech Interns, etc.
    • Social Networking
      • Assist the marketing team with UVC with Facebook, Instagram, Twitter and YouTube for Crestwood Animal Hospital and East Shelbyville Animal Clinic
      • Website – oversee, maintain and work with UVC as needed for Crestwood Animal Hospital and East Shelbyville Animal Clinic
      • Monitor Internet Review sites for Crestwood Animal Hospital and East Shelbyville Animal Clinic and develop methods to enhance our image on these sites
      • Develop and maintain programs and relationships such as the Sympathy Flowers program, and Dogs Helping Heroes
    • Television, Radio and Print
      • Establish contacts so that our hospital is the practice contacted when media have any veterinary related questions
      • Provide press releases such as “Best of Oldham County” recognition
      • Provide public interest stories, videos, etc. in order to:
        • Promote the hospital by showcasing what we do
        • Promote our work with adoptions and homeless pets to show case hospital and increase adoptions through local humane society
    • Management of marquee in front of hospital
      • Schedule of posts
      • Responsible for keeping updated and fresh – and removing old posts in a timely manner
    • Other marketing and communications strategies that will arise over time
    • Miscellaneous Duties
      • Order scrubs for new and current staff as well as manage scrub embroidery for Crestwood Animal Hospital and East Shelbyville Animal Clinic
      • Lead staff meetings when needed and keep minutes for Crestwood Animal Hospital and East Shelbyville Animal Clinic
      • Maintain letterhead, contracts, phone lists, etc. for Crestwood Animal Hospital and East Shelbyville Animal Clinic
      • Assist Hospital Administrator when needed
