THE POSITION
We are in search of an Office Administrator / Accounts Receivable Clerk to coordinate office activities and operations while providing clerical and administrative support to management and assist in ensuring that the company receives payment for goods and services offered to clients. More specifically, this person will be responsible for:
Office Administrator Duties:
- Directs office activities and functions to maintain efficiency and compliance with company policies.
- Supports telephone interactions, email correspondence, and mail distribution.
- Provides support to the Scheduler and other office staff with their assigned duties when needed.
- Maintains records, documentation, and files, particularly more complex or sensitive files such as employee files.
Accounts Receivable Duties:
- Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
- Creates and distributes customer invoices according to company practices.
- Drafts correspondence for past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent account holders to request payment.
- Reports discrepancies and past-due amounts to reconcile accounts.
- Assists our Bookkeeper in generating monthly billing statements based on the general ledger and reconciling revenue accounts each month.
- Copies, files, and retrieves materials for accounts receivable as needed.
- Maintains customer confidence and protects operations by keeping financial information confidential.
- Performs other related duties as assigned.
THE CANDIDATE
Our ideal candidate is a highly organized critical thinker with a friendly, outgoing, and upbeat demeanor, two years of experience in an accounting role specifically with accounts receivables (A/R), at least a year in an administrative or clerical role, and has the following skills, qualities, and beliefs:
- Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
- Ability to operate related office equipment, such as computers, 10-key calculator, multi-line phone system, and copier.
- Effective in analyzing information with attention to detail and problem-solving skills.
- Data entry and accounting skills with understanding of SFAS Rules.
- Maintain confidentiality.
- Excellent time management skills.
- Work well independently and within a team, flexible to work in a collaborative structure.
- Proven ability to communicate effectively, both orally and in writing.
- High school diploma or equivalent (required); Associates or Bachelors degree in accounting or related field (preferred).
