The Executive Administrator will provide executive support for communications, calendar management, correspondence and approvals, travel and expense reports, special projects, and company events. The work is of a critical and confidential nature.

Duties:

In this role, you will support the CRO and CEO in the following:

  • Communications: Supports the Chief Revenue Officer through the communication tools Outlook and Teams/Chime Teams for video enabled meetings with Sr. Leadership Teams and others.


  • Calendar Management: Manages Chief Revenue Officer's calendars by prioritizing schedules and meetings. For example, may decide who gets on their calendars, which meetings are attended, and who can attend in their place. Adaptability to constant change of schedules and adjusting to accommodate urgent requests.


  • Meeting Planning and Organization: Assists Chief Revenue Officer in planning and organizing meetings by taking responsibility for obtaining the agenda, location, meeting technology (Teams/Chime) based upon participant needs, and all other meeting logistics. You may be asked to coordinate administrative scheduling calls with various executive administrators, inside and outside of USAN, to align calendars upon urgent requests.
  • Correspondence & Approvals: Supports Chief Revenue Officer by acting as proxy for communications and approvals as authorized. Answers general questions as necessary and escalates routine matters to appropriate parties and follows up to ensure accurate disposition.


  • Travel and Expenses: Responsible for making travel arrangements for the executive upon request. Carefully considers and decides the optimum travel arrangements and itinerary for calendared meetings while managing USAN expenses. Will also be responsible for collecting receipts and filling accurate and policy aligned expense reports for the Chief Revenue Officer, on time.
  • Special Projects: The daily tasks assigned are at a higher level of complexity. This includes researching issues, analyzing problems, determining approaches, compiling data, and preparing reports if required. May also be asked to work with outside organizations to plan and execute special events, including managing invitations to senior executives, ordering, and ensuring delivery of USAN branded items, organizing special guests and speakers.


  • Company Events: Due to the Chief Revenue Officer's role as site leader of the Atlanta office for USAN, you will plan, organize, and execute in office events that will build up the brand and prestige of the Atlanta office in the local community while still maintaining an eye on affordability. Due to the frequent engagement of the Chief Revenue Officer across USAN, this individual will collaborate with and coordinate activities with other executives in USAN. Work is of a critical and confidential nature.


In general, this role requires you to:
  • perform these tasks effectively, by becoming familiar with the products, people, and organizational dynamics within USAN
  • understand how to handle, with a great degree of independence, incoming asks for time, meetings, resources, and other needs from the CRO and CEO
  • Determine when to refer matters to others, and to whom they should be referred.
  • be responsible for following up to ensure proper disposition, and make sure nothing falls through the cracks
  • collaborate with and coordinate activities with other departments across USAN and drive accountability to the business needs


Basic Qualifications:
  • Completed bachelor's degree with a cumulative GPA of 3.3 or higher
  • A minimum of two years of experience supporting a principal who was at the Director level and above
  • Excellent verbal and written communication skills including the ability to communicate with all levels of Executive/Senior staff and clients
  • Great attention to detail and the maturity to manage confidential information
  • Work in an organized and focused manner
  • Demonstrate leadership skills, engaging and collaborative
  • Advanced knowledge of Windows desktop computer applications: Outlook, Word, Excel, PowerPoint. A plus on knowledge of SharePoint, Ariba, Concur, HubSpot and other marketing tools


Preferred Qualifications:
  • Executive communications experience
  • Comfortable with ambiguity and changing plans
  • Past work experience in the high-tech industry is desire
