UNITE HERE HEALTH is seeking an HR Operations Specialist who would be responsible for HR Operations Fund-wide and to provide support to the Aurora Plans HRBPs. The HR Operations Specialist has core duties such as: documentation for recruitment and onboarding, HRIS data entry and management, Pulse intranet updates, HR file management, and reporting. The HR Operations Specialist, in partnership with the HRBPs, achieves strategic and operational business, organizational, and workforce goals and results. The HR Operations Specialist facilitates and supports the building of a cohesive, high-performance culture, and improving workforce productivity and engagement.

The HR Operations Specialist, in conjunction with the HR Centers of Expertise, applies broad expertise and experience to enable, facilitate, and enhance employee and team performance and productivity in various HR disciplines, including: HRIS, reporting, staffing and recruiting; new-hire onboarding, off-boarding, annual performance and 90-day reviews.


HR Operations (80%)

  • Enters all employee data into the ADP-HRIS system (e.g., new hires, terminations, status changes, performance reviews, etc.).
  • Enters and manages access for all temporary employees and consultants into the Learning Management System (LMS).
  • Makes updates to weekly, bi-weekly, and monthly reports and lists (e.g., phone lists, active directory, change report, after hours report, monthly anniversary reports, etc.).
  • Documents operational procedures and workflows for the HR Team.
  • Creates and maintains new-hire personnel files, new-hire manuals, and I-9 forms.
  • Issues ID badges.
  • Tracks upcoming and outstanding HRBP docs.
  • Files employee paperwork.
  • Order offices supplies.
  • Prepares HR files to be sent to the warehouse storage facility.
  • Provides administrative support, as needed (e.g., copying, faxing, etc.).
  • Updates and maintains the Alice Virtual Reception in Aurora the office.
  • Set goals and achieve measurable results for the position and in conjunction with the HR Team.
  • Contributes ideas to plans and achieving department goals.

HRBP Support – Aurora Plans (20%)

  • Sends pre-hire paperwork to new hires (e.g., background check and reference check authorizations).
  • Conducts background and reference checks on new hires.
  • Sends pre-hire notifications and new-hire confirmations.
  • Sends new-hire paperwork to new hires (e.g., new hire form, W4s, Direct Deposit, Emergency Contacts, etc.).
  • Sends first-day, new-hire paperwork for signatures in DocuSign (e.g., Employee Acknowledgement, COVID-19 attestation, Job Description, etc.).
  • Creates, obtains signatures, and processes status change forms.
  • Sends job descriptions for positions changes for signatures in DocuSign.
  • Sends various notifications and deadline reminders to management on behalf of the HRBPs.
  • Set goals and achieve measurable results for this support role.
  • Assists with developing and coordinating policies and procedures.

Years of Experience and Knowledge

  • 1 ~ 2 years of direct HR and operations experience required.
  • 1~ 2 years of project management experience preferred.
  • Working knowledge of and experience in recruitment, HRIS, HR Operations, and reporting.
  • Working knowledge of and experience with various HR systems (ADP preferred), processes, policies, practices, procedures, and tools; process-oriented with a strong bias for accuracy, simplification, and standardization.

Education, Licenses, and Certifications

  • Bachelor's degree in HR or Business Administration or related field, or equivalent work experience required.

Skills and Abilities

  • Intermediate level Microsoft Office skills (PowerPoint, Word, Outlook).
  • Intermediate level Microsoft Excel skills.
  • Intermediate level system(s) skills in HRIS systems.
  • Spanish bilingual preferred.
  • Effectively and consistently maintains high levels of confidentiality, sensitivity, respect, and support on all matters and to all Customers and vendors.
  • Effectively manages competing deadlines and multiple projects.
