Job Description

Primary Function
The Operations Coordinator is an integral part of the USA team, ensuring that a variety of product including firearms
are procured, received and shipped as necessary to support USA fundraising and outreach events at numerous sites
across many states. Particular emphasis will lie in the transfer and tracking of multiple firearms. Calendar tracking,
ordering, fulfillment and follow up is another main area of emphasis. Impeccable organizational and interpersonal
communication skills are necessary to keep the fulfillment operation running smoothly. Customer service across
multiple platforms and with diverse spectrum of individuals/organizations needed.


 Essential Role and Responsibilities
● Working closely with the USA Events and Management teams, ensure that a sufficient supply of firearms are
available in inventory to meet the organization’s requirements for event prizes and special use needs.
● Responsible for ordering/shipping firearms and other product to end users and/or USA events in a timely
manner. Must ensure that unused items are returned to inventory. Responsible for inventory tracking and work with
Accounting team on reconciliations.
● Must enforce and follow all Federal Firearms License requirements in the storage, shipping, handling, and
disbursement of firearms.
● Must ensure that firearms are handled and stored in a safe and controlled manner at all times.
● Ensure that all inventory and related purchases are accounted for through the maintenance of detailed
records, includes use of QuickBooks inventory, Excel spreadsheets, and SalesForce database forms.
● Responsible for orders, placing fulfillment orders, tracking incentives/prizes and shipping for calendar
program. Seasonal high volumes require excellent organizational and detail-oriented skill sets.
● Primary point of contact for UPS and USPS mailings and shipments
● Other duties as assigned, including but not limited to detailed clerical tasks, data entry, data cleaning and file
maintenance.

● MUST have the ability to hold or work under the requirements of a Federal Firearms License
● High School graduate required, Bachelor’s degree preferred
● Exceptional attention to detail
● Ability to prioritize effectively
● Must be able to manage sensitive and proprietary information with discretion and confidentiality
● Outstanding organizational skills
● Strong computer knowledge
● Proficiency in Microsoft Office Suite required
● Excellent Excel spreadsheet, database, and web commerce skills required
● Knowledge of basic accounting entries, QuickBooks experience preferred
● Excellent written and oral communication skills
● Ability to execute duties successfully with minimal oversight
● Strong interpersonal skills; able to work well with others across multiple levels and disciplines
● Excellent time management skills; ability to multi-task in a fast-paced environment
● Must be adaptable to change
● Must be able to lift up to 50 pounds for mailings/shipments

Physical Demands
Working conditions are a normal office environment as well as warehouse environment and require sitting, standing,
and/or walking for the majority of the day. Requires ability to lift at least 50 lbs. or more when needed in the
warehouse.
