Provide administrative support to Leland House. Coordinate clerical and administrative duties of designated staff members. Provide accurate, timely and professional written and verbal communications and services related to tasks assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Analyze and organize office operations and procedures such as, but not limited to; typing, document processing, desktop publishing, flow of correspondence, filing, and other clerical/administrative services as assigned.
Responsible for submitting various monthly tracking reports to Fairfax County, such as the Leland Census, AED, and any other required documents.
Responsible for training staff in all computer programs established by the agency.
Establish and follow uniform correspondence procedures and style practices.
Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
Field and direct incoming phone inquiries regarding services provided by UMFS.
Read and route incoming mail and direct inquiries to appropriate sources.
Coordinate and make all arrangements for meetings and events, including set up, supplies and take down.
Work independently or within a team to complete ongoing or special projects.
Conduct phone screens, schedule interviews, and provide residential background paperwork for applicants.
Review and track both background paperwork and new hire paperwork prior to sending to HR to ensure completeness, accuracy, and timeliness.
Coordinate staff activities within department as assigned,.
Assist and train new staff in set up and use of computer equipment including lT log in and timesheet entry phones, copier, fax, and scanner.
Coordinate maintenance of office equipment, computer hardware, etc.
