Triumph Management Company is seeking a full-time Administrative Assistant whose will support the office and senior management. This individual will report to the Director of Administration and the Chief Operating Officer. The hours will be from 8:30 – 5:30, Monday through Friday.
REQUIREMENTS:
§ Proficient in Microsoft Office Programs
§ Proficient in Adobe
§ Ability to operate multiple phonelines
§ Ability to multitask
§ A keen attention to detail
§ Strong organizational skills
§ Experience in assisting in the day-to-day tasks of an office
§ Tech savvy
§ Takes initiative
§ Experience in DocStar and DocuSign a plus
§ Notary a plus
RESPONSIBILITIES:
§ A basic review of leases/renewals
§ Admin for Docstar - scanning/running templates/creating folders/filing/key wording
§ Admin for DocuSign / everything DocuSign related
§ Posting employment ads, liaising with our external webmaster to ensure postings are current on the company website
§ Maintaining the company’s organizational charts
§ Assisting in gathering documents for loans/ corporate transactions
§ Leasing as needed at company’s apartment communities
§ Mail retrieval and distribution to intended recipients
§ Sending and receiving all FedEx packages
§ Collecting the mail from the P.O. Box 3 (three) times a week, M/W/F
§ Assisting the external Properties with the following:
§ Print all materials requested
§ Credit applications
§ Assist as needed
§ Additional requests as needed
§ Filing of all medical claims for principals
§ Maintaining the Company phone lists and distribution of lists to appropriate parties
§ Maintaining and updating the emergency after hour call service
§ Maintaining the Holiday gift list both company and personal
§ Overseeing the accurate filing and storage of company documentation
§ Sending out birthday e-cards to all Property staff
§ Requesting, distributing, and filing of all Building plans
§ Ordering of corporate and property supplies company wide
§ Ensuring that all common areas of the corporate office are replenished, tidy and presentable always
§ Order corporate and property business cards
§ Assist executives as requested
§ Answering the corporate office phones and transferring calls as needed
§ Maintaining and keeping the kitchen stocked and cleaned
§ Overseeing the organization of the copy room and supplies
REQUIREMENTS:
§ BA and/or BS degree (s) from a four-year college or university
§ A minimum of 5 or more years of related experience and/or training in the multifamily industry
§ A minimum one or more years in a Community Manager or Director Role.
§ Must be proficient in Microsoft 365/Microsoft Office Suite, Yardi, CRM systems, and internet-based software programs
§ Ability to travel to our properties throughout the US regularly.
§ REAC experience is a plus
§ CPM Certificate preferred
§ Must pass background check which includes a drug test
§ Must be vaccinated and show proof of COVID vaccination
§ Must have a valid Driver’s License and Car Insurance
