Job Description


To support the executive in various ways to ensure they are high-functioning and productive at all times.


  1. Manage calendar & contact lists
    • Planning and scheduling meetings and appointments
    • Arranges corporate travel and meetings by developing itineraries and agendas; booking transportation; arranging lodging and meeting accommodations
    • Update contacts for President and company database
  2. Providing quality customer service
    • Answer phone calls and direct calls to appropriate parties or take messages
    • Treat employees, customers, vendors, etc. with upmost respect and provide outstanding customer service
    • Represents the president by welcoming visitors, reviewing correspondence; arranging company dinners and other corporate functions; answering questions and meeting requests directed to the president
    • Helps key executives make consistent decisions by advising them of historical precedents; serving as liaison between them and the president
    • Enhances president's and corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  3. Take notes for meetings as requested
    • As needed, ensure outgoing documents are accurate, comply with company policies, and reflect the President’s and company’s views before they are sent out
    • Organizing and maintaining files and records
    • Protect and secure confidential and proprietary information and papers
  4. Misc. projects as assigned
    • Prepare invoices, reports, memos, letters, financial statements and other documents, conduct research, compile data, and prepare papers for consideration and presentation by executives
    • Completes projects and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans
    • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations
    • Preparing and editing correspondence, reports, and presentations
    • Improves quality results by studying, evaluating, and re-designing processes; implementing changes
    • Misc. errands as needed
    • Prepare/setup for meetings
    • Process registrations for seminars and conferences;
    • Obtain meals as needed
    • Receipt and review daily mail
  5. Other
    • Take action as directed and needed to support the President
    • Anticipate problems, think & plan ahead to keep executive on-track / schedule
    • Be a good stewards of the President’s vision
    • Ensure President’ vision and company culture is represented in every action
    • Effective communication
    • Work long hours as needed

Education & Experience

  • High school diploma or general education degree (GED)
  • 2-3 years executive level support experience
