Job Description

The Facility Manager, under the supervision of the Superintendent/CEO, supervises and is responsible for the physical operation, maintenance, repair, custodial upkeep and care of the property and its immediate grounds. The Facility Manager manages and leads a maintenance program and recommends changes and/or repairs to comply with school/affiliate agency health and safety in accordance with all federal, state, local, and environmental laws, OSHA, rules, and regulations.


  • Supervise, plan and responsible for the work of the maintenance staff.
  • Develop and direct ongoing maintenance program to ensure operational effectiveness and efficiency for the school building and grounds. Maintain the building and grounds in safe and sanitary condition.
  • Make repairs to steam plant, heating equipment, electrical equipment, plumbing, structure, and furniture.
  • Conduct inspections of building to determine needed repairs and to satisfy regulatory requirements.
  • Administer/maintain all maintenance records, including inspection schedules, future work plans, and all work performed.
  • Anticipate conditions/repairs that might affect the school’s/building’s mechanical, electrical, plumbing, ventilation, and air conditioning systems and take corrective action to avoid disruption of any of these services.
  • Follow New York State bidding process for proposals for contractors and equipment.
  • Supervise work performed by third-party contractors and verify that all work is satisfactorily completed per contract specification according to the recommendations by the CEO/Superintendent, CFO and Director of Human Resources.
  • Supervise housekeeping contractor’s staff and set up custodial work schedules to ensure maximum efficiency and minimum interference with classroom activities. Supervise cleaning of the building and grounds.
  • Requisition and maintain inventory of custodial and maintenance materials, tools and supplies; maintain records and prepare required reports of plant operations.
  • Hire appropriate personnel and train or arrange for their training.
  • Approve maintenance timecards and requests for time-off while insuring compliance with policies.
  • Perform related work as needed.
  • Physical activities performed by Facility Manager and environmental conditions, including but not limited to:
  • o working in confined areas, snow removal, working outdoors in all kinds of weather, on the roof of the building, and in the physical plant, including the boiler room and heating and ventilating room; walking up and down stairs; climbing up and down ladders; and working in close proximity to bio-hazardous materials, such as asbestos and infectious waste.
  • Required to work Saturdays, Sundays, and holidays, as needed.
  • Collaborates with the Administrative Council and Leadership Council on environmental and safety issues.
  • Serves on Leadership Council.
  • Meets bi-weekly CEO/Superintendent.
  • Utilizes applications for work automation and project management.
  • Additional duties as assigned by the CEO/Superintendent.


  • A four- year high school diploma or its educational equivalent.
  • One year of full-time satisfactory experience in operating a boiler-based central heating system.
  • In addition, candidates must meet the following requirements:
  • Three years of full-time experience conducting and/or managing building operations and maintenance, as a superintendent, building manager, custodian engineer or boiler operator.
  • Certification as a Low-Pressure Boiler Operator (P-99, FDNY Certificate of Fitness) and possession of the following certificates:
  • Interior Fire Alarm (S-95, FDNY Certificate of Fitness)
  • Air Compressor (A-35, FDNY Certificate of Fitness)
  • Fire Life and Safety Director (F-89/T89, FDNY Certificate of Fitness), or
  • Sprinkler (S-12, FDNY Certificate of Fitness), or
  • Standpipe (S-13, FDNY Certificate of Fitness)
  • Fire and Emergency Drill Conductor for NYC K – 12 Schools (D-10, FDNY Certificate of Fitness)
  • Air Pollution Certification (DEP Certificate)
  • Universal Chlorofluorocarbon (CFC) Refrigerant Certification.
  • Possession of a New York City license or Certificate of Qualification as an Oil Burning Equipment Installer, High Pressure Boiler Operating Engineer, or Refrigerating Machine Operator; or


  • Demonstrated knowledge and expertise in the basic techniques of carpentry, grounds maintenance, and custodial services
  • Ability to communicate ideas and information in written and oral format to administrative staff, professional colleagues, and Board of Trustees
  • Ability to supervise personnel
  • Ability to estimate cost and work effort and submits reports
