Job Description

We are seeking a Hospitality Operations Manager to join our team! You will be responsible for providing customers with a memorable and gratifying experience, whether it's a Wedding, Family Reunion, Birthday Party, or Corporate Event.

Hospitality Operations Manager

Duties:

  • Provide Exceptional Customer Service
  • Works to continually improve customer service by integrating obtained feedback and personal judgment into action plans.
  • Utilizes available resources to meet client requests or resolve client issues.
  • Respond to client inquiries via phone, text, and email regarding lodging, meetings, special events, weddings, etc.
  • Follow up on leads/potential reservations, and schedule and facilitate tours.
    • Maintain communication/s with clients both potential & confirmed.
      • Answer questions, establish relationships, host meetings, create implementation schedules, etc.
      • Generate and execute contracts, and collect payment.
      • Communicate event details including items pending and action items both verbally and in writing with the client and property operations team. Coordinate any changes necessary.
      • Attends planning visits, receptions, details meetings, and internal meetings related to events.
  • · Ensure that property is ready for tours, events, and guest arrival, perform audits of guestrooms and public spaces, and take all steps necessary to ensure it is prepared including but not limited to:
  • Making immediate corrections to amend things out of order, or missing from guest rooms/event spaces.
  • Occasional cleaning (i.e., sweeping, mopping, putting things away, organizing items) Doing dishes/laundry or other janitorial services as required to ensure spaces are guest ready.
    • Ensuring that bathrooms and venue are clean, tidy, and ready for tours/events.
    • Setting up furniture / tables / chairs both indoors and outdoors / linens / lighting / decor.
    • Adhere to all safety and sanitation requirements.

o Oversee guest services and experience and resolve issues expeditiously

  • · Guest Services
    • Reconcile STR channels & become familiar w/ Reservation systems and CRM.
    • Check guests in / out & perform tasks related to Guest services including but not limited to: special requests, breakfast prep & service, housekeeping, laundry, facilities management, computer work including social media and online reputation management, send purchase orders to owner as needed,
    • Make immediate corrections to and amend things out of order / missing.
      • Assist w/ breakfast setup and cooking/cleanup as needed
  • Coordinate with on and off-site vendors.
    • Schedule ‘set-up’ and ‘tear-out’ team/s (arrange contractors for events)
  • · Ensure Site Preparedness / Facility setup
    • Assisting with setting up and break down of contracted rentals/service items at event.
    • Verifies room requirements such as lighting, temperature, AV equipment, and room set meet client expectations.
    • Assists with coordination of all events.
    • Run necessary errands related to operations i.e. Drop off / pick up tablecloths at cleaners after events. Grocery shopping for breakfast items prior to guest arrival. (pre-order online & pickup) Verifies on-site delivery of hotel products and services

REQUIRED Qualifications or skills:

  • Available to work events on Weekends of up to a 12- hour shift.
  • Must have a friendly demeanor and excellent customer service skills.
  • Ability to problem solve and think on your feet.
  • Very strong commitment to punctuality and sense of responsibility.
  • Ability to perform the physical requirements of the job including such things as standing for multiple hours, moving tables and chairs, and other such tasks.
  • Previous experience in hospitality or other related fields is preferred.
  • Strong leadership qualities.
  • Ability to thrive in a fast-paced environment.
  • Excellent communication skills.
  • Strong attention to detail.
  • Must be a licensed driver with a reliable means of transportation.

Our specialty is the Whole Weekend Wedding which allows couples to hold their wedding and stay in our lodges for three nights, but we also host many other events from Celebrations of life to family reunions, anniversary parties, and quinceaneras.
