About the Role & the Team

We are looking for an Executive Assistant, who will report directly to the Chief Executive Officer while providing executive and administrative support. The Executive Assistant serves as the primary point of contact for internal and external constituents on all matters pertaining to the CEO. The EA must thrive working in a fast-paced, results-driven environment, balancing multiple priorities at once and anticipating the needs of the CEO. Must also exercise impeccable judgment in a variety of situations and handle confidential matters with the utmost professionalism and discretion.

Job Location: This position will be in-person in our Boston, MA office

Responsibilities:

The Executive Assistant assists the CEO in all executive and administrative matters:

  • Sophisticated calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make recommendations to ensure smooth day-to-day operations.
  • Schedule and assemble materials for weekly CEO & Executive Board meetings, ensuring distribution in a timely manner.
  • Prioritize daily schedule and commitments accordingly. Anticipates needs in advance of meetings, conference calls, etc.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CEO including those of a sensitive or confidential nature.
  • Plans the logistics of complex and detailed travel plans, itineraries, and agendas, including in-person quarterly meetings, and the annual leadership conference. Submits expense reports in a timely manner.
  • Coordinates attendance at external meetings (ie: The Board, special meetings, & events)
  • Builds rapport and collaborates effectively with the CEO, Executive Leadership Team
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting/editing presentations and correspondence, as well as other tasks that facilitate the CEO's ability to effectively lead the company.

Qualifications

  • 7 - 10+ years of experience supporting C-level executive(s) in a fast-paced environment
  • Bachelor's Degree, Master's Degree is preferred
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service
