Come and join our Early Intervention Program Work in a positive and supportive environment and make a difference in the lives of children and families Thom Child & Family Services is seeking an Administrative Assistant to join their Pentucket Early Intervention program team located in West Newbury, MA . The Administrative Assistant is expected to act professionally and, in a manner, consistent with the Early Intervention values of resiliency, professionalism, and excellence. The Administrative Assistant will comply with Thom’s policies and procedures relevant to the work of administrative support staff including those relating to corporate and HIPAA regulations.
This is a non-exempt full-time 40-hour in-office position. POSITION RESPONSIBILITIES: Provide supportive customer service, receiving calls from families, taking referrals. Provide introductory information to parents.
Create electronic client files for each new referral. Enter client data into the data system, from initial referral. Maintain referral tracking for teams and referral log.
Send new referrals to Clinical Team Supervisor. Complete progress note: stat sheet verification for clinical services, obtaining clarifications and edits from clinical staff as needed. File electronic notes and reports in client files.
Maintain general supply closet, including inventorying, ordering, and restocking. Manage incoming and outgoing mail. Scanning bills for weekly expense report.
Participate in special projects and perform a variety of duties as needed. Perform user maintenance of office equipment. Group tasks: Process Group forms, request immunization records from pediatrician as needed, update database.
Respond to Social Security Disability requests for documentation. Send Referring Agent letter to referring pediatricians. Other duties as assigned QUALIFICATIONS: High school diploma or equivalent.
Computer proficiency: Microsoft Excel, Microsoft Word, and Teams. Familiarity or willingness to learn additional software programs. Ability to multitask, attention to detail, willingness to learn and adapt to on-going changes.
Ability to problem solve independently and as part of a team. Ability to work with a diverse population. Ability to speak Spanish is a plus.
