Responsibilities:
  • Check daily in the OMS program for all orders in IP status, print a list to determine which orders are in export department and which orders are pending to receive.
  • Coordinate with SMV supervisors and services coordinator what orders have been printed, picked, and how many orders are ready to be sent to the export department.
  • Check all daily pick tickets received from Acros Department and verify Affy Products received (Quantity, proper name of commodities, lot number, country of origin, and expiration date for each one).
  • Inform SMV of any inconsistencies within the orders, customer service or any other Department involved in the Affy products.
  • Coordinate with the packers the way that the order has to ship, which order needs a special permit, which orders have priority to be sent, and the proper way that the product needs to be stored while goods are moving out of the country.
  • Determinate which products are animal origin and which country they have to be sent to in order to make sure the product is shipped to the IATA standard.
  • Adhere to the proper shipping standard for each country.
  • Request and coordinate with Unites States Department of Agriculture special permits for serum products.
  • Ensure the correct paperwork is in place for shipments and their exporters. (Packing list, SDS, COA)
  • Process commercial invoices in OMS.
  • Prepare Manufacturer's Declaration with proper specifications according to each country's requirements.
  • Consolidate orders and send weekly for special requirements
  • Monitor and process daily air shipments.
  • Ship the orders out and process them in FedEx Ship Manager.
  • Schedule pickups for orders sending via international freight.
  • Bill all orders including Affy products, containers, air and Ocean Shipments for Thermo Fisher products.
  • Apply the freight charges for orders sending under the Thermo Fisher account number.
  • Prepare the documents for hazardous goods following the CFR49, IATA, IMDG to transport Dangerous Goods regulations in accordance with the requirements of the U.S Department of Transportation.
  • Apply for Electronic Export Information (EEI) in Automated Export System (AES) whenever an AES filing is required. The U.S. Foreign Trade Regulations require an AES filing for exports to anywhere other than Canada if the value of the exported goods grouped by Schedule B number is more than $2,500, or if the goods require an export license.
  • Provide customers all information about the shipments sent including tracking number, and commercial invoices.
  • Review that all shipments sent daily are properly invoiced.
  • Provide prompt, courteous and accurate customer service to customers.
  • Inform the loader what orders are priority, who is the forwarder, and which documents the loader has to sign.
  • Create and maintain Excel spreadsheets for all Affy shipments and orders.
  • Close FedEx Ship Manager daily to ensure that all orders processed during the day are shipping.
  • When required, send Fisher air shipments, ocean shipments, and help prepare containers.
  • Prepare documentation for all modes of transportation.
  • Coordinate with the freight forwarders every facet of exports shipment prior to loading.
  • Supervise proper loading of product daily.
  • Maintain files to include electronic organization, paper filing, and adherence with document retention and destruction procedures for Affy products.
  • Resolve any inquiries or requests from customers.
  • Cover for any team member on PTO.
  • Maintain close communications with SMV and NDC departments for any additional support.
  • Communicate daily with the Export Manager to inform the team of any issues or urgent shipments that require special prioritization.
