Client Care Coordinator

The Client Care Coordinator plays a critical role at Theory Real Estate. With a large presence on social media and other marketing channels, Theory generates new potential clients on a daily basis for our real estate business, event space, property management company, and other businesses. The Client Care Coordinator is the first point of contact for Theory clients and has an opportunity to create a GREAT first experience. They are ultimately responsible for the management of Theory’s entire database. This boils down to several things: generating & interacting with new (and past) clients, always pushing for sales, distributing clients to the appropriate Theory Team Member, and providing exceptional customer service.

RESPONSIBILITIES

  • Answer all inbound calls and texts to Theory phone(s)

  • Handle all communication on all Theory Social Media platforms, including responding to all messages and comments, and engaging with other people in the community

  • Interact with all people from Theory’s website and email account

  • Follow up with all potential clients from workshops and Theory events

  • Cold call for listings, reaching out to Expired Listings, FSBO’s, neighbors of Theory listings, homeowners in target neighborhoods, etc.

  • Oversee mailing initiatives

  • Ask qualifying questions to all people you interact with to determine Next Steps

  • Build relationships and rapport with all clients

  • Practice, memorize, and internalize scripts

  • Input all people into MyTheory (Theory’s CRM) with detailed notes

  • Introduce clients to appropriate Theory Team Member (Theory Agent, Event Coordinator, Theory Investments Manager, Property Manager, etc)

  • Nurture relationships with clients, following up with them regularly and keeping detailed notes until they are ready to be handed off

  • Keep MyTheory database extremely organized

  • Hold Theory Team Members accountable to all clients you have handed off to them

  • Communicate regularly with all members of Theory Exclusive, Theory’s Client Appreciation and Referral Program

  • Report to Management Weekly on key metrics

  • Go above and beyond, always!

REQUIREMENTS

  • Strong work ethic

  • Positive attitude

  • Sales Experience, preferably in real estate

  • Problem-solving ability

  • Excellent verbal and written communication skills

  • Ability to overcome objections and close sales

  • Comfortable spending long amounts of time on the phone

  • Organized and detail-oriented

  • Experience with Google Drive and other G-Suite Products

  • Ability to prioritize multiple responsibilities within set deadlines

  • Willingness to be held accountable for goals & results
