JOB PURPOSE:

The Manager of Donor Stewardship works closely with the Director of Development and the Executive Director to coordinate meetings, events, and activities providing support and leadership to ensure TUTS Board Members, major gift donors and prospects, and other volunteer and affinity groups receive proper stewardship and communications.

DUTIES AND RESPONSIBILITIES:

ADMINISTRATIVE
  • Attend and participate in institutional meetings:
    1. Bi-weekly Institutional Advancement Team meetings
    2. Bi-weekly Development department meetings acting as Secretary and taking meeting minutes, as well as preparing donor profile presentations, and continuing education presentations as needed
    3. Board of Directors Development Committee meetings
  • Produce TUTS VIP Donor events, including vendor coordination and budget management:
    1. Season Announcement Event, Tech Talks, More Than Song and Dance, Open Dress Rehearsals, and Stargazers Salon - TUTS VIP donor lounge
    2. Board Engagement events
  • Attend all major stewardship events and receptions to support Development Team and be an active participant in performance duty for TUTS productions; ability to work evening and weekends as necessary.
  • Produce The Observatory – TUTS quarterly donor newsletter – including three digital and annual print & digital editions
  • Manage, maintain, and produce all donor recognition listings, including Playbill
  • Use Tessitura to maintain individual portfolio and keep donor plans up-to-date with contact points
  • Work with all members of the Development department on daily, monthly, fiscal departmental projects, tasks, and events (campaigns, gala, etc.)
  • Work with other departments within TUTS on collaborative projects, including guests for stewardship events, developing collateral, etc.
  • Manage stewardship communications and deliveries for Board members and VIP donors (cards, flowers, gifts, etc.)
  • Assist with End of Calendar Year receipts that go to all donors
  • Work directly with the Director of Development in conjunction with Gifts and Records Development Associate to establish and implement a timely and seamless acknowledgment and receipt process within the Development department
  • Maintain Board information for internal use, including accurate tracking of service, giving, recognition, etc. within files and Tessitura
  • Act as giving and ticketing concierge for Board members
  • Creating and managing stewardship calendar that identifies and incorporates cross-departmental engagement opportunities and administers donor benefits provided to board members and executive portfolio households.
  • Administering executive portfolio and board member records, including plans, steps, and contact reports in Tessitura
  • Other duties as assigned.


QUALIFICATIONS:
  • Minimum of three years of experience of not-for-profit fundraising experience, preferably in a performing arts organization. Solid knowledge of development principles and practices, and experience in Tessitura database management is a plus.
  • Excellent written, verbal, and interpersonal communication skills.
  • Intuitive mindset, creative aptitude, and effective use of discretion and independent judgment; able to look beyond assigned tasks and consider tangential and collateral connections, problems, opportunities, and possibilities.
  • Results/action-oriented work style; strong strategic, analytical, planning, and problem-solving skills; able to successfully navigate within a dynamic and fast-paced environment.
  • Ability to foster and maintain positive relationships with colleagues, corporate professionals, artists, teachers, community partners, volunteers, and the general public.
  • Ability to communicate effectively and persuasively in oral and written communication on both an interpersonal and group level.
  • Ability and commitment to working with diverse groups in terms of gender expression, race, sexual orientation, religion, ability, age, class, and immigrant status.
  • Excellent skills with Microsoft365 products, including Word, Excel & Teams.
