An equipment rental coordinator/ customer service representative is a key contributor to the overall rental experience of our customers. As the first line of service in helping customers over the phone or by email, professionalism and superior customer service skills are essential. This individual facilitates rental inquiries both internally and externally and thus must be comfortable in a fast paced and ever changing environment - your days will fly by! Excellent communication and organization skills will allow the right candidate to excel in this role and provide future opportunities within our organization.

Job Summary

We are looking for a motivated and very customer oriented Equipment Rental Coordinator to work at our Calgary head office to fulfill our customers' requirements and grow with the company!

Responsibilities and Duties

  • Answer all telephone/email inquiries from Customers and process all Rental Requests; escalate and communicate professionally & effectively.
  • Effectively dispatch and communicate with delivery drivers across all of our branches in Canada and the USA
  • Communicate with maintenance staff to ensure equipment is ready to rent
  • Maintain and document on site inventories and communicate findings to all staff daily; strong commitment to inventory control required.
  • Process new Rental Contracts daily as per standard operating procedures.
  • Coordinate with the Service Department on all rental equipment and service/repair issues to the Rental Fleet.
  • Cold calling potential customers to generate new business

Qualifications and Skills

  • Minimum of two years’ experience in the customer service/retail industry/construction, preferably in the rental industry;
  • Minimum of Grade 12 or equivalent; post-secondary diploma is an asset
  • Self-starter, very customer service oriented and works well in a team environment
  • Thrives in a fast paced environment with strict deadlines
  • Microsoft Office: 5 years (Required)
  • Excellent customer service skills
  • Strong organizational skills


  • Excellent communication and interpersonal skills required
  • Ability to communicate with customers in English and Spanish languages is an asset
  • Demonstrated customer relations ability
  • Demonstrated problem solving and decision-making skills
  • Excellent organizational and planning skills
  • Detail oriented
  • Ability to work independently and as part of a team
  • A safety focused and a self-starter who takes pride in a job well done
  • Ability to work with tight deadlines and has a strong sense of urgency
