Overview

FUNCTION:Responsible for the effective functioning of the facility/office at the Cleveland West Park Corps

Responsibilities


DUTIES:
+ Maintains office services by organizing office and facility operations and procedures; preparing payroll; submitting Statistical reports; controlling correspondence; managing facility calendar; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
+ Maintains office and facility efficiency by planning and implementing office/facility systems, layouts, and equipment procurement.
+ Designs and implements office and facility policies by establishing standards and procedures; measuring results against standards; making necessary adjustments.
+ Completes operational requirements by scheduling and assigning employees; following up on work results.
+ Supervises the office and janitorial staff and volunteers and monitors staff job results by training, coaching, counseling, and disciplining employees; planning, monitoring, and appraising job results through employee/volunteer reviews.
+ Responsible for the effective functioning of the office.
+ Achieves financial objectives by Assisting the Corps Officer in preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions.
+ Assist the commanding officer's with various communications relative to the workings of the corps business.
+ Responsible for collecting mail from and submitting mail to the Post Office.
+ Responsible for the timely completion and submissions of weekly expense and income transmittals to the centralizedaccounting office.
+ Serve as a liaison with entities providing non-paid workers, such as Court Community Service, AARP, etc.
+ Coordinate pick-up, record-keeping and distribution of donated goods.
+ Coordinate receptionist coverage and fill in as needed.
+ Recruit, train, schedule and supervise assigned volunteers.
+ Maintain files, office materials, office equipment and office supplies.
+ Perform clerical duties such as correspondence, filing, copying, mailings, etc.
+ Arrange for procurement of needed supplies for the operation of the center.
+ Provide support as requested for Advisory Board Liaisons.
+ Send acknowledgements and Thank You letters to Donors by training appropriate volunteers to do so.
+ Complete and submit statistical reports.
+ Maintain confidentiality of all Salvation Army records and client information.
+ Maintain cleanliness and security of all corps equipment, facility and grounds in area of responsibility
+ Contributes to team effort by accomplishing related results as needed.
+ Performs other duties as assignedby the Corps Officers.

SPECIAL SKILLS, CERTIFICATES, LICENSES, REGISTRATIONS.
+ Maintains a consumer friendly demeanor when working with internal and external publics.
+ Establishes an effective working rapport with all other staff.
+ Must be courteous to program participants and their families, volunteers, staff and the general public.

+ Proficient knowledge of all Microsoft Office Suite programs (Word, Power Point, Excel, and Publisher).
+ Ability to communicate and interact well with officers and employees.
+ Prefer a logical thinker who is detailed oriented.
+ Demonstrate good computer and typing skills with a high degree of accuracy.
+ Ability to work alone and with others. Must be a self-starter. Must have the ability to keep information in a confidential and secure fashion, and to use sound judgment working in an environment with multiple, changing work priorities, and under strict, unalterable deadlines.
+ Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar, as well as good verbal communication skills.
+ Must possess a current, valid Driver's License.
+ Must have an understanding of and appreciation for the Mission of The Salvation Army.

Qualifications

MINIMUM EDUCATION and/or EXPERIENCE.
Bachelor's Degree Preferred but not required
Previous work/experience in management, clerical, or customer service a plus
