Job Description

Job purpose

This position performs accounting duties as part of the finance and accounting team, supervises the Bookkeeper position and works closely with the Controller. This position assumes responsibility for post award grant accounting thus ensuring compliance with funding source administrative guidelines, monitoring budgets, expenses, accurate submission of financial reports, timely receipt of revenue and communications with funding agencies, organization leadership and PIs.

Areas of Responsibility

Perform accounting related functions as assigned, but not limited to:

· Accounts Receivable

o Preparing and submitting customer invoices when requested

o Complete monthly billing process for Federal Grants and recording of payments

· Accounts Payable Support

o Review purchase orders (POs) for accuracy, completeness, and authorization before order placement

o Review of vendor invoices for accuracy against the PO, for proper authorization and correct coding

o Entry of invoices into accounting system

· Month and Year ends

o Month end close to include Account reconciliations, Journal Entries and Billings

o Provide annual audit and 990 assistances

· Supervisory

o Supervise and train Bookkeeper

o Document policies, procedures, and workflow for assigned areas of responsibility

Perform grant related functions as assigned, but not limited to:

· Grant assistance

o Provide assistance to grant Principal Investigators (PI):

§ questions related to budget preparation, for the submission of federal and non-federal grants and contracts

§ by working with funding agencies on changed award budgets and the submission of the necessary paperwork for approval of such actions

o Monitor contracts, extensions, and amendments for granting agencies, institutions, and outside consultants

o Review grant and contract related journal entries and prepare adjusting entries as needed

o Process invoices to pay sub-awardees per terms and conditions

· Financial Statements and Communications

o Prepare accurate and timely financial reports

o Distribute financial status reports monthly to individual PI's and Leadership

o Track and report on organization grant spending and grant timelines

Qualifications

· High attention to detail and organization

· Ability to quickly evaluate information and solve problems

· Strong experience providing full range, independent administrative support

· Strong computer skills

· Ability to communicate effectively and professionally with internal and external contacts over the phone, in person and via email – while maintaining confidentiality

· Demonstrated ability to work independently or with a team to organize and establish job priorities to meet deadlines and shifting priorities

· Proficient with PC’s, Microsoft Outlook and Office Suite, and light IT ability

· Bachelor’s Degree preferred

· Minimum three years + of relevant work experience in a business environment

· Experience with MIP Fund Accounting a plus

Physical requirements

  • Must be able to lift 40lbs as needed.
  • Must be able to sit for extended periods of time.
