POSITION SUMMARY Under direction of the Facilities Director, works on special projects, helps plan, organize, and direct the business activities of the department; performs difficult or complex business (clerical) related tasks or projects and interprets administrative policies and regulations related to the department's business activities. PRIMARY DUTIES AND RESPONSIBILITIES • Supports the maintenance management program: • Takes calls from staff and residents and enters work requests into the system. • Trains staff and residents on the use of the program • Assigns the EVS and Maintenance Staff emergency tasks • Scheduling of vendors and contractors including but not limited to Pest Control and Friday gardening vendor • Provides maintenance/construction notifications to residents and staff. • Orders maintenance supplies • Supports Facilities Director during CDPH, DSS, CHP, and HUD inspections • Communicates the policies and procedures to families moving into The Redwoods and works with the moving coordinator to ensure a smooth transition. • Provides support to the Director of Facilities with: • Fire life safety documentation back up • General ledger coding back up • Payroll backup for EVS, Maintenance, and Transportation departments • Provides support to other departments as needed, including Covid station and testing, etc. • Assigns the EVS daily tasks • Provides set up sheets to environmental services staff for events • General office duties including scanning, copying, invoicing, preparing documents and statistical reports, etc. • Work on special projects as assigned • Other duties as assigned EMPLOYMENT STANDARDS Experience and Education: Bachelor Degree from an accredited college or university. Or a combination of 4 year experience and education. License: Some positions in this classification may require incumbents to possess and maintain a valid California driver's license, Class C or higher, to carry out job related duties. KNOWLEDGE AND ABILITY Knowledge of: departmental organization, programs, policies and procedures; principles of scheduling, supervision, purchasing and personnel transactions; modern office methods, practices and procedures; effective methods of office management and administration; and computer equipment and sophisticated office machines. Ability to: gather and analyze factual data, interpret rules and regulations; communicates effectively both orally and in writing; deal tactfully and effectively with staff, the public and others contacted in the course of work; train and supervise employees; prepare procedures, reports, surveys and other required materials, speak, read, write and understand English Physical Requirements: • The position requires ability to retrieve work materials, the use of basic office equipment; intermittent walking, and standing, stooping, carrying and lifting of materials and supplies up to 35 lbs. • Computer typing is a key part of the position. Work is primarily performed in an office environment with minimal exposure to health and safety considerations however, contact with frail residents and the general public is a key part of the position.
