Job Description POSITION DESCRIPTION – Administrative Assistant GRANT RELATED RESPONSIBILITIES -        Oversee online grant applications including monitoring new and changed applications, updating grant statuses necessary -        Provide ongoing communication with Executive Director regarding grant application status changes. -        Initial review of Letters of Intent and Full Applications -        Developed initial Award Letter, manages changes, facilitates final execution of Award Letter -        Monitors receipt of Progress and Final Reports -        Monitors Milestones and other grant requirements based on Award Letters -        Serve as the point of contact with grant applicants and grantees throughout the grant process -        Assist with grant applications as needed, fielding questions/concerns, changes in stages of application status, and communicate problems and issues with the applications, and following up with necessary reporting requirements. -        Archive grants completed upon end of fiscal year ADMINISTRATIVE RESPONSIBILITIES -        Collaborate with Treasurer to ensure timely payments to grantees. -        Design and maintain website and marketing materials as needed. -        Draft correspondence -        Manage telephone call and other communications -        Plan and schedule appointments and events -        Design and implement organized filing system CONFERENCE RESPONSIBILITIES -        Represent The Podiatry Foundation at CME conferences -        Secure booth rental and exhibit hall registration for all TPF attendees. -        Order booth display items, promotional items, and other marketing materials as necessary. -        Actively engage conference attendees and share information about TPF -        Assist the Executive Director in coordinating receptions, dinners and events at conferences as necessary. BOARD RELATED RESPONSIBILITIES -        Attend quarterly board meetings -        Record minutes, transcribe and submit minutes to Executive Director within four weeks of meeting. -        Develop draft agenda for board meetings IDEAL POSITION EXPERIENCE -        Experience in managing small professional office -        Experience in private foundation -        Experience in industry conferences/booth operations
