We seek a person who has both strategic vision and tactical acumen to help build out systems and processes that will help the Nueva School continue to be a pacesetter in the world of independent school education.
Job Snapshot/A Typical Day:
The day begins with a meeting with the middle school division leadership to discuss upcoming staffing needs, which leads to a discussion of classroom and space availability on our Hillsborough campus. That's followed by a quick review of lower school curricular changes and a note to the communications team about website edits. After a fantastic lunch with inspiring colleagues, a meeting with our tech team about the migration to our new SIS culminates with a half-dozen checklist items resolved. Before you walk less than a block to the Hillsdale CalTrain station to depart our San Mateo campus, a check-in with the director of admission about a number of enrollment and leave of absence updates that need to be made.
The Position:
The Registrar and Student Information Manager is responsible for the timely and accurate maintenance of all current, incoming, and prior student academic records, including all registration, enrollment, transcript, and testing information. The registrar, in conjunction with division and academic leadership, admissions, college counseling, advancement / alumni relations, business office, and technology, shares responsibility for managing the records of course and testing offerings, requirements, schedules, changes, and transcripts for students and faculty. More specifically, the registrar's duties may include but not be limited to:

More specifically, the registrar's duties may include but not be limited to:
Registration, Enrollment, and Schedule Management
- Coordinates with Admissions to ensure timely and accurate registration of new students and graduation / withdrawal of departing students and appropriate transfer of records.
- Coordinate with division and academic leadership to maintain and manage the core curriculum guide and seasonal course catalogs.
- Coordinate with division and academic leadership, deans, advisors, parents, and students to manage and communicate student enrollment, including compliance with prerequisites, and course schedules.
- Coordinate with division and academic leadership to manage and communicate course and faculty room assignments.
- Coordinate with division and academic leadership, deans, advisors, parents, and students to ensure each student's compliance and progress against graduation requirements.
Transcript Management
- Compile and manage student narratives, grades, and transcripts.
- Collaborate with Admissions, College Counseling, Development / Alumni Relations, and the Business Office to support students through their primary, secondary, college (including NCAA requirements as applicable), graduate, and post graduate professional needs.
Student Information Data
- Maintain the student information database (includes biographical, academic, and other data).
Academic Management
- Maintain daily and annual calendars and schedules including special / alternative schedules.
- Manage standardized, AP, and college-related testing and associated record keeping.
Other
- Coordinates with the Technology, Admissions, College Counseling, Development /Alumni Relations, and Business Office to ensure the appropriate selection, implementation, use, and maintenance of technologies to support the needs of the student information and registrar.
- Other duties as assigned.
Qualifications
- A commitment to the inclusion, belonging, and advocacy of people from a spectrum of backgrounds and identities is required.
- Bachelor degree required and advanced degree preferred.
- Candidates with significant database management and SIS migration and implementation experience, preferably with Blackbaud, will be of particular interest.
- At least 5+ years of relevant progressively responsible post graduate experience required. Database, records management, and/or scheduling experience in an education, corporate, and/or non-profit environment strongly preferred.
- Familiarity and experience with FERPA and NCAA regulations.
- Understanding of independent school communities and culture, preferably in a PreK-12 environment.
- Excellent oral and written communication and presentation skills.
- Experience leading and engaging all stakeholders - colleagues, parents, students, alumni, partners, vendors, and volunteers.
- Strong proficiency with computer technologies including database, scheduling, and productivity applications.
- Actively engaged in professional development and current on best practices.
- Personable, positive, helpful personality; customer service mindset.
