Job Description

Job Title: Administrative Assistant/Executive Assistant

Salary: $48,000-$56,000 annual salary (in addition year-end bonus)

Job Description:

This role demands a strong sense of urgency while working independently on short-term and long-term assignments. We require proactive support to get things done but also someone who can suggest and implement ways to improve processes for long-term success. The right candidate will be customer-service oriented, have strong attention to detail and organization skills. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important, and the ability to communicate with field staff of all levels.

Essential Functions:

  • Effective and proactive ownership of calendars and scheduling requirements for CEO
  • Organizing, prioritizing, and appropriately handling time-sensitive, confidential information and ensuring action/attention required is addressed
  • Tracking and helping drive completion of key deliverable and following up on outstanding items
  • Managing the end-to-end coordination for team events including all hands, off-sites, and team social events.
  • Act as the point of contact among executives, employees, clients and other external partners
  • Ownership of travel and accommodation arrangements
  • Manage in keeping up with office supply inventory, snacks and overall cleanness of corporate office, uniform supply coordination
  • Screen and direct phone calls and distribute correspondence along with daily mail
  • Send out and track monthly safety meetings and update Share-drive
  • Prepare weekly reports and agenda for Tuesday managers’ meeting
  • Handle occasional company errands for the office and CEO
  • Create spreadsheets, presentations for special projects as assigned
  • Schedule regular building maintenance – carpet cleaner, windows and maintenance
  • Send out calendar reminders for corporate events
  • Reconcile corporate credit card monthly
