PURPOSE OF POSITION:
Provides administrative and project support to sales, catering and event managers
Assists and/or has complete responsibility for completing contracts, correspondence, forms, memorandums, Delphi management system updates, and other items as needed.
Compiles and distributes weekly group resume packet.
Compiles and distributes daily short sheet and BEO’s for next day.
Distributes daily Change Log to relevant department.
Answers telephone and responds to caller inquiries. Exercises decision-making skills to direct callers based on requests. Accurately records and distributes messages. Communicates with other hotel associates to relay pertinent sales related information.
Keeps a weekly lead log and routes to all sales managers for updates.
Plans and executes various special projects with the guidance of management.
Sorts and distributes mail.
Orders supplies and keeps inventory of supplies and promotional items.
Organizes, files, distributes, faxes, and other essential functions necessary in the daily department operation.
Acts as liaison with clients and guests in Manager's absence.
Performs supportive functions during the absence of other administrative staff.
Performs other duties as assigned.
MANDITORY JOB REQUIREMENTS:
- Good communication skills, both written and oral.
- Working knowledge of Microsoft Office, Excel, Word.
- Ability to input data into a word processor at a minimum rate of 60 w.p.m.
- Basic secretarial knowledge such as business letters, formats, and telephone etiquette.
- High school diploma required.
