Job Description

OVERVIEW OF ROLE:

The responsibilities of Investment & Insurance Operations Coordinator are to service our advisors’ current book of investment and insurance business, creating new accounts, servicing existing accounts, underwriting practices for insurance, and servicing insurance policies. This role is not a sales or business development role, even though it may require the Investment & Insurance Operations Coordinator to meet with clients to gather information for account related purposes. They oversee the administrative functions of the investment and insurance operations by maintaining required compliance records in accordance with securities industry rules. This position oversees the investment and insurance operational activities of our office, including work performed by advisors & other staff related to order processing, account set up and maintenance, portfolio allocation, check deposits, funds disbursements and service requests, OSJ regulatory filing in accordance with firm and regulatory policies and procedures, insurance underwriting, billing, servicing, and coordinates backup support. The Investment & Insurance Operations Coordinator identifies process improvements in investment operations and participates in the development of operational skills for the people working in investments.

Specific responsibilities include but will not be limited to:

  • Complete all processes and paperwork necessary for establishing new accounts for new and existing clients for investment and annuities
  • Complete all processes and paperwork necessary for establishing insurance policies for new and existing clients for all risk products (life, di, long term care, term conversions, and reconsiderations)
  • Meet with clients to gather information to establish investment, insurance, and annuity accounts
  • Complete all service requests including banking information changes, client billing (shortages, overpayment, etc…) address changes, one-time payments, loans, refunds, cancellations, beneficiary changes, policy lapses, name changes, etc.
  • Complete all trading and service activities on client investment and annuity accounts including service requests, distributions, cash raising, negative cash balances, etc…
  • Process trade correction requests, when necessary
  • Complete rollover calls with clients to move money from their current company to our firm
  • Deposit any incoming checks and/or EFT requests
  • Send out prospectuses to clients, when appropriate
  • Track all EFT requests, wires, ACAT’s, and incoming deposits for new business
  • Maintain compliant records and complete all case notes when interacting with a client
  • Handle calls to answer client requests for account information
  • Help maintain client records and inventory list in CRM
  • Carry forward any ROTH IRA conversion strategies necessary
  • Create investment performance reports
  • Help our team process death and beneficiary claims on insurance, investment and annuity accounts
  • Prepare Morningstar proposals and other investment proposals for client and plan recommendations
  • Communicating with underwriters and providing any additional information or documentation
  • Emailing status updates to clients at least twice a week
  • Manage client portfolios and service requests via Env2, Netx360, and other investment software
  • Creating and verifying the accuracy of insurance delivery documents and approved vs. applied for projections
  • Scheduling insurance finalization meetings for clients with the appropriate advisor
  • Processing signed forms accordingly
  • Bringing up any issues with insurance underwriting and/or investment accounts to Chief Operations Office
  • Directly reports to Chief Operating Officer
  • Creating insurance illustrations
  • Filling in for Executive Assistant when EA is out (if necessary)
  • Greeting clients and offering drinks etc. as they come into the office
  • Confirm meetings

Education and Industry Experience

Required

  • Series 6, 63, or equivalents 
  • 2+ years of industry experience
  • Strong attention to detail, accuracy and reliability with the ability to thrive in a fast-paced environment. Proven track record in developing and administering a marketing program with measurable results
  • Highly detailed and organized with the ability to prioritize multiple projects
  • Strong project management and collaboration skills
  • Strong computer skills including Microsoft Office Suite
  • Experience in problem-solving
  • Confident, positive, and take-charge attitude
  • Ability to maintain confidentiality
  • Strong analytical skills
  • Excellent written and oral communication skills
  • Ability to take independent action to make sound decisions with little oversight
  • Ability to work effectively with people at all levels
  • Excellent interpersonal skills
  • Ability to multi-task and prioritize

Preferred

  • Life, Accident, and Health Insurance License
  • Series 7 
  • Series 65 
  • 5+ years working in investment and/or insurance operations
  • Bachelor’s degree in accounting, MBA, or finance.
  • Proven track record leading teams and individuals toward goals
