Job Description

Job Summary

Provide administrative support services to the Director of Membership

Job Tasks

Send (via mail) Birthday and Wedding Anniversary cards to active members at the end of each month

Process all requests for letters of introduction and handle all reciprocal club inquiries, including member requests for the inclusion of new reciprocal clubs

Process membership applications, reinstatements, leave of absences, and resignations on a weekly basis. This includes:

o   Running the application credit check

o   Entering all applicant information in the Screening Committee report

o   Entering all applicant information into Northstar, including but not limited to billing addresses, spouse & dependent information, education, interests, etc.

o   Creating all member ID cards

o   Supplying new member information in the Columbian magazine

o   Supplying the new member emails

o   Supplying the emails of resignations to be taken off the weekly email list

o   Monthly status change reports (age, LOA, and military)

·         Updating all member information changes in AR and coordinating with the accounting department.

·         Maintaining supply of prospect packets for distribution

·         Maintaining supply of new member packets for distribution

·         Handling returned mail

·         Maintaining supply of all materials in the membership office (paper, envelopes, printed materials, etc.)

·         Filing of all applications and other miscellaneous paperwork

·         Make all preparations for open house receptions including:

          Make Employee ID cards

·         Assist with registration/check-in at Club special events on an as-needed basis

·         Assist with emails after Northstar upgrade is completed

·         Additional administrative/project assistance as programs are developed

The Columbia Club is a private member club that dates back to 1888, when a contingent of Indianapolis' most distinguished residents were bound by a desire to see Benjamin Harrison elected the nation's 23rd president. The group, which called themselves the Harrison Marching Society, decided to secure a Clubhouse and increased their membership numbers from 150-500. With history and tradition at its birthright, the Columbia Club was formally organized in February 13, 1889.

Celebrating more than 130 years of excellence, the Columbia Club remains one of the most preeminent clubs in the Midwest. We are dedicated to providing a modern experience for our members while embracing our traditions and rich history.
