Now, about you…

Tepa, LLC is actively seeking a Project Administrative Assistant for our office on Tinker Air Force Base in Oklahoma City, OK. The Project Administrative Assistant (PAA) shall provide project support to the onsite management and construction project design and execution teams.  The PAA creates and maintains all project files electronically and tracks all project paperwork (including but not limited to: daily logs, site photographs, drawings, project setup and closeout forms, and other required applications), maintains communication between the field staff, office staff, and customers.  The PAA is expected to have exceptional people skills, highly organized, and be proficient in the Microsoft Office suite of programs.

Responsibilities include:

  • Monitor projects to help ensure resources are used efficiently
  • Assists project managers, construction inspectors, designers, engineers, and management with project related needs.
  • Maintain open communication with onsite staff regarding all issues and work toward resolutions
  • Tracking and submitting vehicle and expense reports for management and project design/execution teams
  • Provide status reports and updates verbally and in written form to management when required
  • Organize and monitor schedules/calendars and work with project teams to see that deadlines are met
  • Coordinate efforts within the onsite management team and with outside subcontractors and government representatives efficiently and professionally
  • Assists project manager and inspector with updates on progress of designs and construction projects to the customer, to contracting, the Air Force, and company management through use of written or verbal communication or applications such as MS Office
  • Assists with project status and data updates in the Air Force database(s) of record (currently NexGen IT, also known as Tririga) as well as onsite database(s) and project management software
  • Conduct general clerical duties as required (typing, filing, meetings, etc.). Prepare memos, forms, letters, and meeting minutes as needed
  • Responsible for electronic and hard copy document filing in accordance with USAF requirements/standards
  • Provide superior administrative support to management
  • Follows Tehama, LLC furnished information directives, policies and procedures and contract requirements
  • Complies with health and safety rules and procedures; performs work in a manner that enhances the safety of the work environment
  • Interfaces with customers and responsible for obtaining customer feedback, as applicable
  • Performs other related duties as assigned

What are we looking for?

  • High school diploma required
  • Two- or four-year degree preferred
  • 3-5 years of construction project support experience
  • Strong computer skills required
  • Proficient with Microsoft office suite
  • Experience in the DoD/Air Force industry a plus
  • Ability to identify issues with project logistics
  • Ability to be resourceful and proactive in dealing with issues that may arise
  • Ability to organize, multitask, prioritize, and work under pressure
  • Strong organizational, written, and verbal communication skills
  • Collaborative working style and team-player attitude
  • Project and perform all duties in a professional manner in writing and in person
