Job Description

As the administrative assistant to the CEO you play a critical role in having things run smoothly at our company. In addition to routine administrative tasks this position will include managing the company finances, aspects of the quoting process, maintaining our database, and managing the calendar and the CEO’s travel itinerary. You’ll be accountable to assist the CEO in reaching company growth goals, including outstanding customer service, controlling expenses, and protecting company assets such as our inventory. From time to time you’ll be asked to complete special projects within the organization to improve efficiencies. You must be reliable, driven to complete tasks, capable of managing the workload and prioritizing tasks in a fast-paced entrepreneurial environment. Essentially your job is to make sure things run smoothly and efficiently.

Job Responsibilities:

  • Maintain daily calendar, manage itineraries, logistics and all required documentation
  • Maintain the company calendar and schedule
  • Manage company phone, email and mail correspondences  
  • Coordinate the weekly management meeting by agenda
  • Create meeting minutes with assigned tasks
  • Manage the accountabilities of assigned tasks
  • Create and maintain our office inventory with par levels
  • Equipment inventory and maintenance log
  • Company document and contract maintenance
  • Collaborate on completing request for proposals
  • Tracking of and following up on proposals sent
  • Maintain HR files on all employees
  • Create and maintain policy and procedure manuals on all functions within the company
  • Manage the company finances in QuickBooks
