Real Estate Associate is experiencing tremendous growth and is looking for a part time or full time administrative/sales assistant. Morning hours Monday-Friday, 30-40 hrs/week. The ideal candidate would be hard working, motivated to succeed and willing to learn and grow the position.

We are seeking an Administrative Assistant to join our team! You will provide administrative support for our top ranking real estate team. With the help of this individual, the Agent is hoping to focus more on selling real estate and much less on the back-end/daily administrative tasks. The top candidate will be willing to go above and beyond their duties and is excited about the opportunity for growth and expansion.

We are interested in someone with a proven track record of creating and implementing systems and procedures in an office atmosphere and who pays special attention to detail. This person will have a strong sense of urgency and must enjoy "to-do lists". They will be an “outside the box” thinker and problem solver.

It is important that this individual is upbeat, considers themselves to be somewhat of a perfectionist, is extremely computer savvy, is competitive and welcomes constructive criticism as a tool for growth. This person will be somebody who has a big vision for team growth and expansion. They will be ready to conquer the world with the team! Must be competitive in nature and love to win.


$25,000 - $33,000 yearly

  • Oversee all brochures, flyers, online marketing, etc. to continuously build our brand
  • Continually improve skills via training and online research
  • Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
  • Keep team members informed about challenges and issues that need to be handled to ensure open lines of communication on the team
  • Provide world-class customer service to our client base and vendors so achieve improved brand recognition

  • Real Estate Listings
  • Create and send packets and paperwork
  • Create and send listing presentations
  • Enter listing in the Multiple Listing Service and enhance descriptions and photos online
  • Ordering sign installs and set up staging and photography services
  • Create brochures
  • Maintain contact database
  • Create postcards and newsletters for direct mail marketing
  • Maintain spreadsheets and Google Docs for listings
  • Contact clients to set up appointments and review listing status during the transaction
  • Post listings on Craigslist, Facebook, Twitter and more
  • Contact to Close
  • Review and organize client files
  • Complete closing worksheet (summary of the purchase agreement and contact info for all parties)
  • Distributing paperwork to all necessary parties in the transaction
  • Add client to contact database
  • Track status in spreadsheet and Google doc
  • Update the Multiple Listing Service
  • Keeping client information confidential
  • Mail marketing materials
  • After Closing
  • Update contact database
  • Mail and track client surveys
  • Assisting agents with tracking down missing paperwork and signatures from clients
  • Meeting with clients to get signatures if needed
  • Daily tracking mailing of expired listings
  • Lead generation activities
  • Create marketing and direct mail brochures, letters postcards using Publisher and Power Point

  • Experience in the real estate industry is a plus
  • Able to build lasting relationships with clients by providing understanding and effective service to their needs
  • Associate’s degree preferred but not required to apply
  • Display excellent verbal and written communication skills
  • Deadline driven and extremely organized
  • A valid Real Estate License is required for this job - Can obtain one after start
  • Able to work independently without supervision
  • Proficient in Microsoft office (word, excel, power point publisher). Knowledge in editing and creating documents for client contact, marketing and training manuals
  • Proficient with using the internet for searches and social media posting (Facebook, Twitter, Pinterest and blogging)
  • Knowledge of Google Docs - both creating and editing
  • Proficient with Craigslist both for posting advertisements and searching
  • Excellent communication skills, both written and verbal. Comfortable talking with vendors and clients via telephone and e-mail
  • Works efficiently and uses time management skills
  • Able to meet deadlines and prioritize daily tasks
  • Real Estate office experience a plus
  • Must have HS Diploma and prefer a college degree
