Bilingual Admin Assistant for Tax and Accounting Office

Our thriving tax and accounting office has an immediate opening for a highly organized assistant. This is an entry-level role with no prior experience required and excellent opportunities for advancement.
An interest in tax law, real estate, tax preparation, and accounting would be ideal. If you desire to develop your career in these directions, we will help you every step of the way.
In this position, you will help our office run smoothly, engage and interact with our client base, and fill in the gaps on any new projects that need extra attention and energy. Most of your hours will involve working in our office, however, you will also be able to work from home some of the time.
We currently have 3-weekday shifts available and 2-weekend shifts available. These shifts can be covered by more than one person, so please do not be concerned if you cannot work all of the available shifts. In addition, it will often be possible for you to pick up at least one extra shift each week. After the first few weeks, there will also be many ways for you to work extra hours from home.
Long term, at least 25-30% of your work can be completed from your own home.
Your responsibilities will include:
Office Environment
Bring your natural flair for good design into our office environment
Ensure that all four of our office rooms are kept tidy and presentable
Keep outdoor furniture clean
Office Operations
Help to keep all office equipment running smoothly (computers, printers, signature pads, etc)
Maintain office inventory levels (printer paper, toner, folders, staples, etc)
Order office products online, and coordinate deliveries
Clerical
Help to ensure a smooth record-keeping process for all of our client records
Efficiently purge old papers from old file cabinets
File new documents into new file cabinets
Convert paper records into digital records
Client Support
Respond in a timely manner to various administrative requests from our clients
Resolve a wide variety of client-related questions and problems
Reception
Answer our company phone, and schedule dozens of appointments each week
Project Management / Vendor Relations
Coordinate with vendors on an upcoming painting project (we are painting the entire office)
Coordinate with vendors on an upcoming landscaping project (new outdoor design)
Work with external vendors on IT-related projects;
To be hired for this role you will require:
Exceptionally high intelligence, and aptitude for organization
Willingness to learn and adapt to new responsibilities
Fast typing skills, with very high accuracy
Affinity for writing and editing
Impeccable attention to detail
Project management skills
Some of our clients only speak Spanish, so you must be bilingual as well
