Job Description

CUSTOMER SUPPORT ROLE & RESPONSIBILITIES:

  • Provide outstanding customer service and serve as a support to the other operation of the business.
  • Proactively solicit sales via contacting customers via Phone, Chat, FB messenger, social media DM, and Zendesk tickets follow-ups
  • Able to communicate concisely our company policies to client
  • Help achieve daily B2C sales goals and ability to turn any customer contact (Phone, Chat, FB messenger, social media DM, and email) into an upsell for additional products
  • Consistently meet or exceed established performance criteria, including but not limited to, customer service and satisfaction, productivity, attendance, work quality, and revenue generation.
  • Respond to manage and handle as the primary for all customer service inquiries, returns, and exchanges. resolve customer tickets related to product questions, complaints and order status using emails, chat, phone, and direct messaging.
  • In charge of inbound/outbound emails
  • Responsible for incoming and outbound phone calls, customer emails, and chats, and social media inquiries for customer service related inquires in Zendesk platform and any other platform.
  • Helps coordinate orders and shipping processes in the warehouse.
  • Process payments and credits and handle all RMA requests, and warehouse customer returns from receiving, crediting the customer by the accounting team, providing an exchange or any alternative needed to complete the returns/exchange process
  • Adhere and help to improve communication procedures, guidelines, FAQs and policies
  • Maintain a thorough working knowledge of the company’s products to drive better customer support.
  • Recommend products/like products to customers as it is related or if a particular product is not available
  • Builds lasting relationships with customers by contacting them to follow up on purchases, and suggest new merchandise
  • Creates multiple product options based on the customer’s preferred style and performance needs
  • Provides personalized recommendations with customers
  • Create/Update customer information on the company’s system
  • Manage all Zendesk ticket requests
  • Manage all products reviews and website reviews from customers and answer customer questions on products on daily basis.
  • Run and perform a frequently reports for all products reviews from customers and highlight the most common issues to I&D dept.
  • Help support web division with website auditing of TLF’s websites for accuracy and efficiency
  • Assists in accounting, purchasing, and warehouse teams with tasks including data entry.
  • Follow-up on all customer requests to ensure the brand provides the highest level of customer service in the industry
  • Able to communicate concisely our company policies to client
  • Provide knowledgeable answers to customer phone and e-mail inquiries regarding products and brand
  • Deal with orders in the back office and liaise with logistics
  • Assist customers with after-sales service issues
  • Be a primary contact for customer inquiries about our products and brand.

ADMINISTRATIVE SPECIALIST ROLE & RESPONSIBILITIES:

  • Acts directly with the Operations, Marketing, and Warehouse Depts to assist them in the managing individual and department projects, tasks, and customer requests and needs
  • Serves as contact for communication between departments.
  • Proactively plans and schedules projects and manages dept and individual tasks
  • Provide support and quality information to the managers. Supervisors, and staff as needed.
  • Must be able to handle all the different problems when it comes to the operation of the business.
  • Must be able to quickly assess the effects of changing circumstances within the company and report your findings to the Operations Supervisor to help develop coping and resolution strategies that improve company performance, organization, and efficiency, and team dynamics.
  • Assist in evaluating current operational performance and provide a strategic plan for improvements.
  • Maintain all assigned databases up to date with accurate information.
  • Help to create internal SOP’s, organization, for all company documentation and operational needs.
  • Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Manages office supplies, cleanliness and enforces clean desk policies for the staff and common areas
  • Helps manage all receiving and office assets into TLF and to their final department destination.
  • Scans, tracks, and maintains all fixed assets in ORCA our fixed asset tracking system
  • Ensures proper operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Setting up new hires’ computers, making sure to install all the necessary software / Apps.
  • Schedule a system update for all the unused computers when it occurs, inform all the staff to update their own computers in time.
  • Creates and revises systems and procedures by analyzing operating practices, recordkeeping systems, forms control, office layout, and budgetary and personnel requirements, implementing changes.
