Description:

We are seeking a Corporate Administrator to join our growing Admin team. If you are a driven individual who is passionate about ensuring a structured and organized environment and providing valuable support to Senior Management teams, this role may be a great fit for you.

The Corporate Administrator is responsible for significant contributions to the formulation, development, recommendation, implementation, and administration of TEFCU’s operations, policies, and organizational goals.  Provides leadership and direction to the Administrative departments to ensure efficiency. Ensures all activities are in compliance with federal and state regulations and TEFCU’s policies and procedures. Responds to questions and/or provides information upon requests from TEFCU’s Management team and personnel. 

Major Duties and Responsibilities:

A.  Administration

  • Attends TEFCU’s meetings and engages in discussions to establish project requirements. Accomplishes project requirements by assigning, scheduling, and directing employees.
  • Meets project management standards by ensuring staff productivity, quality, and member service standards are efficient, detailed, and exemplary.
  • Monitors project plans, work hours, budgets, and expenditures. Keeps the President/CEO and others informed about project status and issues that arises.
  • Prepares project organization, communication charts, and meeting minutes. 
  • Tracks projects and administrative tasks and issues until resolution while communicating with staff and Management throughout the process.
  •  Acts as the chair during meetings and distributes meeting minutes to all team members.
  • Reviews documentation and reports from vendors and staff members for accuracy before presenting to the President/CEO.
  • Reviews ongoing contract documentation and purchase orders for material changes before submission.
  • Reviews new contract and purchase order documentation for completion and accuracy before presenting to the President/CEO.
  • In conjunction with the Compliance department, reviews and maintains contract execution tracking log (vendor due diligence).
  • In conjunction with the President/CEO, coordinates, supervises, and directs branch development and renovation.  Reviews design details and engages department and operational managers for input.  Works directly with vendors in directing, organizing, and controlling project activities, under the direction of the President/CEO. Reviews final implementation to ensure specifications are in conformance with contractual obligations.
  • Communicates ideas for improving TEFCU’s processes. Explores opportunities to add value to TEFCU’s operations.
  • Coordinates TEFCU’s product and service offerings from design to implementation.  Engages and directs team members from respective departments to ensure successful implementation.
  •  Resolves operational problems and identifies work process improvements.
  •  Works with Branch Operations in the development of marketing promotions and the quarterly newsletter.
  •  Ensures products, services, fees, policy changes, procedures, etc. are updated on TEFCU’s network, internet, intranet, promotions, printed material, and disclosures.
  •  Works, consults, and engages with the Branch to develop improved marketing communication for attracting existing and new members.
  • Works on designed material to enhance TEFCU’s brand. Works with outside consultants to develop brand marketing, ensuring deadlines are established and met.
  • In conjunction with the Compliance department, Branch Operations team, and other various departments, regularly reviews and updates the internet/intranet to ensure accurate information is posted.
  • Supervises, directs, and coaches administrative and facilities staff in adhering to operational duties, procedures, and protocol. Completes annual evaluations of staff members.  Regularly reviews performance and properly recommends disciplinary actions as needed.
  • Acts as the liaison between staff members and vendors and the President/CEO.
  • Develops and prepares a variety of Special Programs/Projects/Trainings as directed by TEFCU’s Strategic Plan and/or President/CEO.
  • Performs other duties, as assigned.

B. Operations

  • Oversees department budget to ensure that it is implemented and followed properly.
  • Reviews budgeting and spending procedures within the department and advises how funds may be better allocated and devised.
  • Takes responsibility for the effective integration of processes across the organization as a whole and for the improvement of processes.
  • Represents and supports the administrative services and Senior Management within the organization.
  • Takes responsibility for the effectiveness and efficiency of the Administrative departments, ensuring key objectives are met.
  • Promotes a culture of innovation, flexibility and quality in all aspects of administrative departments and services.

Work Schedule:

This is a salaried, full-time and exempt-level position. Hours worked will fluctuate from Monday through Friday based on the needs of the organization; applicants for this role must have the flexibility to stay late for extended hours as needed. 

Required Qualifications:

  • At least seven (7) years of experience working in high-level Administrative Support roles.
  • At least four (4) years of direct experience with Project Management.
  • Must have an advanced degree (Bachelor's or above) in Business Administration, Marketing, Human Resources, or a related field.
  • Possesses excellent written and verbal communication skills with strong attention to detail.
  • Displays a clear ability to calmly and independently resolve conflict in a professional manner.
  • Demonstrates superior organizational and prioritization skills with an ability to successfully balance multiple projects in a fast-paced environment.
  • Utilizes a high degree of discretion, judgement, tact and professionalism, both in person and on the phone.

Preferred Qualifications:

  • Four (4) years of experience holding a role that oversees a team.
  • Four (4) years of experience working in roles that support C-suite executives. 
  • Experience working within a Credit Union or Bank is strongly preferred.

TEFCU requires all new employees working in its facilities or interacting with other employees, members, or persons to be fully vaccinated for COVID-19, and new employees must provide proof that they are fully vaccinated prior to the first day of employment. Individuals may seek a medical or a religious exemption to the vaccination requirement.
