As a Operations Administrative Assistant, you should have a desire to be in a fast-paced environments. Individuals must be able to work in a self-motivated manner.

 

This is a key operational position, reporting directly to the Director of Operations, with the opportunity to advance and grow with TDRL Enterprises. The ideal candidate will be capable of the related skills and able to complete them daily.

 

The ideal candidate will meet all service requirements while adhering to the policies and procedures of TDRL Enterprises.

 

The candidate must possess strong relationship skills and maintain a positive solution-based attitude at all times. The ideal candidate will provide a safe, secure, legal environment with the proper tools and systems to maximize complete job satisfaction for employees and support company growth and profitability.

 

Responsibilities – Operations Administrative Assistant:

 

  • Hires and trains maintenance department staff.
  • Prepare and follow-up on proposals for additional/extra work.
  • Manage and maintain Extra Work/Change Order logs to ensure that each is submitted and billed appropriately and timely.
  • Manages and maintains monthly billing submittals and corresponding logs for Director review.
  • Responsible for reviewing and submitting all billing to Accounts Receivables.
  • Run all weekly and monthly operations reports.
  • Maintains monthly projections and forecasts.
  • Creates and submits expense reports for Operations Team.
  • Logs performance evaluations that are timely and constructive.
  • Supports Director of Operations daily functions.
  • Understand the various details and expectations of each unique customer’s SOP.
  • Develop a strong geographic understanding of operating markets, as well as the mix of business in each location and the individual driver fleets.
  • Assists and develops maintenance procedures and schedules.
  • Ensures maintenance and repair work is completed correctly and in a timely manner by Maintenance Team.
  • Assists with departmental budget estimates and costs of specific repair projects.
  • Performs other related duties as assigned.

  • Bilingual Spanish is required.
  • Must be detailed-oriented and highly organized.
  • Identifies and resolves problems in a timely manner; gathers and analyzes information skillfully; and maintains confidentiality.

  • Demonstrates accuracy and thoroughness; and monitors own work to ensure quality.

  • Excellent management and supervisory skills.
  • Proficient with Microsoft Office Suite or similar software.
  • Desire to work independently and proactively to support TDRL Operations goals.
  • Good communication skills and the ability to develop positive relationships with peers.
  • Professional image and communication skills.
  • Good command over the English language is a must.
  • Ability to learn in a high stress environment.
  • Travel Required: 5% - 10%

 

Environment and Physical Requirements:

 

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 25 pounds at a time.
