Position Summary:

The Nonclinical Operations Program Assistant is a cross-functional position primarily providing support to Nonclinical Operations management and administrative teams. Day-to-day activities include scheduling meetings, study set-up and archiving, data update compilation and formatting, controlled documentation maintenance using Learning Management Software, and supporting department management as needed. The NCPA also supports the IACUC Chair and Secretary with documentation and communication needs. This position reports to the Director, Nonclinical Operations.

Essential Functions:
  • Perform administrative tasks to support Department Management and other team members
  • Prepare, distribute, track, file and archive departmental Controlled Documents in accordance with Company-wide policies and act as departmental expert using Learning Management Software (ACE).
  • Work in concert with IACUC Chair on preparation, review and maintenance of documentation records, reports and letters to Principal Investigators, OLAW and IO, scheduling meetings.
  • Assist Project Managers on coordination of projects, including scheduling client and internal calls and meetings, drafting agendas, maintaining project trackers, preparing study folders, invoice review and providing additional support as requested.
  • Assist Data Specialists in formatting, compiling, and review of client data and laboratory documentation.
  • Support on final reports, including formatting, proofreading, tracking and archiving.
  • Track internal departmental metrics and assist with the development and implementation of streamlined tracking processes
  • Maintain positive rapport with clients that will result in repeat business.
  • Work closely with department supervisors for supply orders and equipment maintenance scheduling and maintenance tracking.
  • Perform other duties as assigned.
Job Requirements:
  • Bachelor’s degree in a science-related field and 2 years related work experience
Required Specialized/Technical Skills:
  • Strong computer skills, including advanced working knowledge in the use of Microsoft applications
  • Experience using a Learning Management Software is preferred
  • Strong organization and multi-tasking skills
  • Ability to apply considerable attention to detail to ensure consistency and accuracy of critical documents
  • Excellent communication skills and ability to work collaboratively with a variety of personalities successfully
  • Ability to work independently in a fast-paced environment.
  • Able to set priorities and meet deadlines
