Position Purpose
The primary responsibility of a Project Administrator is to help with many of the duties surrounding project management. They look after administrative tasks, which can range from completing project paperwork, maintaining budgets, scheduling meetings, sending invoices and interacting with clients. The Project Administrator will work alongside the Project Management team as a project partner, collaboration, and assistant to gather necessary information and support project completion. This is a task-oriented role, where attention to detail and the ability to multitask are keys to success.
Essential Responsibilities/Accountabilities The positions primary functions and responsibilities.
Assist the Project Manager in gathering all required documentation and information for accurate submissions Review and understand the billing requirements for each project outline in the contractual agreements and ongoing project needs Establish the project payment schedules/contracts, ensuring all information in the ERP/CRM system is accurate and maintained Manage the associated invoicing for all designated projects, ensuring the payment schedules are accurate and current Initiate invoices for any change orders or additional project costs Process and track all correspondence with internal and external Clients Create the initial set up of projects and job structure in Epicor Oversee the current contracts to enhance understanding and to ensure requirements are met. Collaborate with the management of customer project portals and information Follow up on Accounts Receivable collections and works with customers to get payments arranged Ensures all Epicor/CRM/ERP project information is accurate and current Set project goals and timelines for invoicing and admin actions needed for success Providing daily support to project team as directed by management. Monitor the ongoing progress with project and assist in resolving project issues Perform assigned duties according to the policies and expectations prescribed by the company.

Minimum Qualifications
To perform the essential responsibilities, individuals must have the following level of education and experience, or equivalent combination. Additionally, the following certifications, knowledge, skills, or physical requirements are necessary for the position.
- This position requires two or more years of experience performing work in the role of Project Administrator or similar position.
- Prior background experience in construction invoicing
- Strong knowledge of business and manufacturing processes
- A college degree in a related field of study (business management, business administration) is preferred but not required for candidates with proven past work experience.
- Proficiency in Microsoft Office Applications: Word, Outlook and Excel
- Ability to read and understand contractual content
